Time and Labour Assistant

Position summary

Shared Services is seeking a smart, approachable, team orientated individual to join our team as a Time and Labour Assistant.

Reporting to the Team Lead, Time and Labour, the Time and Labour Assistant is a full-time position. 

Duties

  • Completes manual calculations for overtime, shift differentials, and other exception time and vacation, sick leaves and retroactive pay and enters correct information into the system.
  • Applies employee T&L rules overtime balances as per rules in collective agreement and legislation.
  • Ensures employees are enrolled in the correct workgroups and leave plans, reviews time and labor exceptions and ensures exceptions are cleaned each pay period.
  • Tracks staff hours to facilitate transition between employee types, identifies staff nearing their employment end date and notifies appropriate supervisor to ensure timeliness of extension or termination.
  • Ensures all reported time and leaves are approved, loaded and processed correctly to pay.
  • Ensures that all time and leave approvals are completed in accordance with Payroll processing deadlines.
  • Oversees workflow administration as well as monitoring the T&L delegations as per the guidelines.
  • Assists departments in troubleshooting and resolving issues with time entry as it relates to leaves, positive, exception and banked time.
  • Runs daily, weekly and pay period queries and reports to manage, resolve and modify the status of time and labour exceptions and errors.
  • Oversees, validates and resolves any issues related to time entry upload from third party time management software.
  • Follows up with supervisors and departments for mass approvals, and processes confirmation and/or corrections.

Qualifications

  • High School diploma supplemented by coursework in accounting, Human Resource Management and Canadian Payroll Association PCP certification; equivalent combinations of education and experience may be considered.
  • Two years of directly related time and labour experience.
  • Experience with PeopleSoft HCM (Human Resources, Time and Labour modules, Benefits & Payroll for North America) is an asset.
  • Knowledge of the University of Alberta’s HR policies & procedures and collective agreements
  • Excellent interpersonal skills and the ability to work collaboratively within a team.
  • High attention to detail, ability to meet strict deadlines and perform multiple competing tasks and prioritize workload.
  • Must have strong listening skills and be able to communicate with the diverse multicultural community of the University.
  • Demonstrated belief in customer service excellence while maintaining tact, diplomacy and professionalism
  • Excellent written and verbal communication and interpersonal skills
  • Able to promote and work effectively in an integrated service culture
  • Ability to effectively work with co-workers to build consensus and partnerships
