Job Description

The School of Social Transformation is seeking a highly organized and motivated Management Intern to assist with planning, coordinating, organizing, staffing and assisting with supervising events sponsored by the School of Social Transformation, student organizations, off-campus organizations, or a combination of the aforementioned.

Essential Duties

• Assist with coordinating, planning and implementing School events; i.e. lectures, symposia, recruitment and graduation events, campus wide events that SST participates in, as well as workshops, assemblies and departmental meetings.
• Prepare and process administrative and financial paperwork/reports related to events.
• Post event duties such as: collecting attendance sheet, retain required receipts and any other
• supporting documentation for each event transaction, and reconciliation of p-card purchases.
• Assist with coordinating the logistical aspects of events including facilities reservations, food and caterers, rental and vendor agreements, online registration, tracking RSVPs, ordering supplies and performing other administrative duties as assigned.
• May assist with set up and tear down of events including moving furniture, setup of tables and chairs and equipment (laptop, projector, etc.).
• Be flexible with schedule; may require evening and weekend events
• Serve as back-up for Novus building issues.
• Maintain school equipment and inventory list and surplus management.
• Perform 0ther duties as assigned.

Minimum Qualifications

Bachelor’s degree in a related field; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

• Experience with reimbursements and payments in Workday
• Experience with PCard use and reconciliation
• Experience with event planning for up to 1000 attendees
• Evidence of effective interpersonal skills
• Experience in event promotion
• Ability to multi-task and work in a fast-paced environment
• Experience in higher education
• Experience in being organized and detail oriented

Working Environment

• Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse
• Required to stand for varying lengths of time and walk moderate distances to perform work
• Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
• Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
• Ability to clearly communicate to perform essential functions
• Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals
• Receive regular review of assignments for adherence to established goals and objectives
• This position may provide work direction of activities to others for completion of project related tasks
