About Chancellery International  

Led by the Deputy Vice Chancellor International, Chancellery International provides strategic guidance and expert advice for internationalisation and global engagement, through:

  • Coordination and oversight of the establishment, development and review of the University’s formal bilateral and multilateral relations with overseas universities and other strategic partners;
  • Providing the strategic direction for engagement with the region and broader international engagement;
  • High-level representation of The University in Australia and internationally. Development and strengthening of international funding, networking and mobility opportunities;
  • Provision of strategic region and country-specific advice to the University’s Chancellery, faculties, graduate schools and other relevant stakeholders;
  • Advancement of the international diplomatic relations’ strategy and provision of intelligence in relation to key government agencies and diplomatic missions in Australia and overseas;
  • Development and oversight of protocol for the management of high-level incoming international visits and delegations; and
  • Management of international visit programs for high-level visitors to the University

About the Role
The Senior Administrative Officer, you will undertake a wide range of duties that support the efficient delivery of a range of functions across the Chancellery International team. You will provide outstanding, intuitive and astute administrative, secretarial and executive support services to the Pro Vice Chancellor, International and the Executive Director, International.

You will also support the preparation of budget submissions, provide regular financial updates, coordinate HR processes and support the delivery of various forms of Chancellery International internal and external engagement. 

Responsibilities include:

  • Provide high level administrative support to ensure efficient running of the day-to-day activities of the PVC and Executive Director International, through expert diary management, organising meeting and travel arrangements, and managing financial transactions
  • Provide timely and accurate advice across administration including financial reporting, recruitment, HR data, contract and position coordination
  • Manage the flow of incoming and outgoing requests and correspondence ensuring that reports, business papers and correspondence are prioritised
  • Build and maintain strong and effective relationships with internal and external staff to ensure the efficient delivery of administrative services in a tactful and diplomatic manner

About You

Through significant experience, you will display a high level of professionalism, resilience, maturity, discretion and independent judgement. A self-starter, you are able to effectively operate in high-pressure environments and utilise your strong interpersonal and collaboration skills to work with a diverse range of stakeholders. You will also bring a track record of engaging with and supporting requests from senior stakeholders and leaders in a professional and organised manner. In addition, you will bring well developed, analytical, financial, written and verbal communication skills.

You will also have:

  • Substantial experience in delivering a full range of high-level administrative tasks and executive support to senior executive staff
  • Sound experience in planning and anticipating issues and proactively addressing challenges
  • Well-developed planning, organisation, time management and prioritisation skills with the ability to demonstrate and deliver designated outputs to tight timelines
  • Demonstrated track record of identification and implementation of continuous improvement initiatives
  • Highly developed computer skills including Outlook, Microsoft Word, Excel, PowerPoint and the ability to learn new software
