What we want

The Division of Research is seeking a Senior Administrative Coordinator I that will be responsible for coordinating administrative activities and services for the High Performance Research Computing (HPRC) unit and staff. In this position, you will assist the HPRC executive director, directors, and associate directors with administrative matters including  reviewing, approving, or rejecting all Basic and Startup applications for requesting computing times on the HPRC systems.  The preferred candidate will have experience at a university research computing center or other national HPC center, experience with standard office equipment and personal computers, and in writing grant proposals and reports. Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Six years of experience in office administration

Required Knowledge, Skills, and Abilities:

  • Knowledge of spreadsheet, presentation, and word processing software applications

  • Interpersonal and communication skills

  • Planning and organization skills

  • Excellent writing skills

  • Ability to work as a team member in a diverse setting and to perform accurately in a collaborative, detail-oriented environment

  • Ability to prioritize objectives with a high level of discretion, independent judgment, and initiative

  • Ability to multi-task and work cooperatively with others

 

Preferred Experience:

  • Experience at a university research computing center or other national HPC center

  • Experience with standard office equipment and personal computers

  • Experience in writing grant proposals and reports

Preferred Licenses and Certifications:

  • Certified Administrative Professional (CAP)

 

Preferred Knowledge, Skills, and Abilities:

  • Familiar with the HPRC resource allocation system or other resource allocation systems used by other Research Computing or HPC centers

  • Ability to cultivate and maintain professional working relationships with people of diverse backgrounds

Responsibilities:

  • HPC Systems & User Support –

    Serves as the primary information resource for access to the University’s main HPRC equipment. Manages and coordinates HPC user accounts and applications for time on several separate HPRC systems. Initiates the evaluation process of user application for time on all HPRC systems. Maintains the software platform that manages the corresponding database. Coordinates the review of applications/requests for HPC time on behalf of the HPRC Resources Allocation Committee (RAC). Collects, analyzes, and presents relevant user data to the Committee to make an informed determination for awarding or not awarding requests for machine time. Records minutes as needed. Coordinates and schedules logistical support for HPRC short courses, workshops, and seminars. Advertises upcoming events.
  • Administrative Support – Coordinates administrative support functions for the HPRC. Assists the Executive Director, Directors, and Associate Directors of HPRC in the resolution of complex, highly sensitive, and confidential administrative matters. Prepares complex reports and special analyses for the Executive Director, Directors, and Associate Directors of HPRC. Assists in providing solutions to both recurring and unusual administrative problems. Plans and coordinates logistical and administrative support for events, meetings, and specialized activities. Coordinates and monitors action items and deadlines for various professional events (e.g., conferences, vendor courses and workshops) and follows them through to completion. Coordinates and makes needed arrangements for visits from vendors and visitors from collaborative universities. Coordinates workflow, serves as a liaison, and promotes communication between HPRC and Division offices, outside units, and vendors.

  • HPRC Operations – Coordinates administrative activities and services for the HPRC unit relating to operational procedures, special projects, and compliance functions. Prepares complex reports that track customer access and use of HPRC hardware and services (e.g., Helpdesk consulting). Works with the Director for User Services and Research and the Manager of User Services to manage the help-desk students and graduate student employees. Performs other duties as assigned.
