The Office of Administration and Finance has an opening for a full-time University Staff (unclassified) Research Services Senior Professional position.

Nature of Work

The Colorado School of Public Health (ColoradoSPH) is a unique and collaborative graduate school that combines the collective expertise of three Colorado universities: the University of Colorado Anschutz Medical Campus (CU Anschutz) in Aurora, Colorado State University (CSU) in Fort Collins, and the University of Northern Colorado (UNC) in Greeley, Colorado. The Research Services Senior Professional position is located at the Office of Administration and Finance. The position will spend approximately 50% effort supporting research administration with post award and pre-award and the other effort will be supporting the finance office with general school level finance duties.

Research pre/post award support consists of managing the day-to-day grant management for their assigned departments and plays a major role in proactively anticipating related issues/problems, suggesting a range of options with an analysis of advantages and disadvantages, and recommending solutions to ColoradoSPH Principal Investigators and unit leaders. This position will work directly with the faculty and department personnel to administer research support activities, research administration, and assist in the development of research policy and procedures. It should be noted that this position may support multiple units within the Colorado School of Public Health. These units often operate differently and as such, may have differing policies and procedures, financial models, and in general day to day operations. Additionally, this person will assist with general finance tasks for the finance office within the School of Public Health. This includes purchasing and procurement, approving Concur expense and travel reports, approving of travel requests, and processing journal entries.

This position is a very customer service-oriented position. The ideal candidate will have a can-do attitude, and patience to support requests and questions. This person will be expected to establish rapport and relationships through effective communication, both written and verbal.

This position is also part of a collaborative team and is expected to work well within a team dynamic, while working individually on specific tasks and projects. The ideal candidate will be supportive and provide backup to the other team members as needed. They should be self-motivated, eager to learn, and interested in engaging with the team on a regular basis.

Professionals at all levels are responsible for exercising personal accountability and responsibility in a wide range of areas including financial, administrative, and academic, and a demonstrated ability in prioritizing and meeting deadlines.

This position will be directly supervised by the Assistant Director for Finance and Research Administration for finance duties and the Grant Lifecycle Program Director for research administration.

Examples of Work Performed

Grants/Contracts – Pre-award:

  • Develop and manage new applications for assigned faculty
  • Coordinate routing and approval process for each proposal including timeline development
  • Create budgets, assist with budget justifications; prepare supporting documentation for grant applications (financial interest disclosures, biosketches, other support documents, and other pieces as necessary)
  • Coordinate with any subcontract institutions to collect required proposal documentation and budgets
  • Review grant-related materials to ensure compliance with university and sponsor requirements; coordinate pre-award grant activities with partner institutions; coordinate pre-award grant activities within UCD
  • Study and understand RFA/PA and sponsor instructions to ensure proposal follows guidelines
  • Submit proposal by deadline, and track proposal number and status
  • Serve as a resource to faculty for interpreting proposal application guidelines including required materials, budget rules

Grants/Contracts – Post-award:

  • Develop and manage progress reports, no-cost extension requests, carry-over requests and contract applications for Center and Department faculty
  • Create budgets, assist with budget justifications; prepare supporting documentation for non-competing renewal applications
  • Communication liaison between Grants and Contracts, Award Agency and departmental personnel
  • Problem solve in matters related to post-award situations
  • Provide/coordinate periodic training to CSPH staff and faculty and offer ongoing consultation in areas specific to research support
  • Advise and consult with Principal Investigators and staff regarding federal or institutional changes in research policies and implementation of related procedures
  • Review and reconcile award notices, work with Principal Investigator in revising the budget as required and coordinate the setup of award in the University systems
  • Monitor all assigned grants by preparing reports and projections on a recurring basis and reviewing to ensure all expenditures are allowable
  • Coordinate and monitor subcontracts and associated payments
  • As needed prepare or verify that OGC has submitted invoices accurately and in a timely manner
  • As needed prepare and submit correcting journal entries and budget revisions for assigned grants
  • Advise and consult with assigned Principal Investigators regarding matters related to their specific project budgets, ensuring they fully understand the funds available, projections and re-budgeting needs as project scope and timelines change, including changes in personnel 
  • Work closely with assigned Principal Investigators to ensure that research staff and faculty effort is properly assigned and accounted for in accordance with study, university, and sponsor requirements
  • Coordinate with Office of Grants and Contracts on closeout financials and reporting

Finance: Payroll/Purchasing/Other:

  • Process journal entries
  • Approve concur reports based on University guidelines and rules
  • Coordinate international travel approvals on behalf of the Dean of the Colorado School of Public Health
  • Coordinate large purchases or payments such as consulting agreements including, but not limited to, review of Statement of Work, vendor setup, purchasing requisition, and invoice payments
  • Manage assigned payroll tracking, HCM entries, and Payroll Expense Transfers
  • Manage ongoing changes to salary coverage for assigned positions to ensure ongoing sufficient resources from various sources of funding
  • Notify assigned faculty of future funding cliffs and help strategize solutions

Minimum Requirements

  • A bachelor’s degree in business administration, business, finance, accounting, or a directly related field from an accredited institution and a minimum of 2 year of professional grant/contract experience

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

The position requires extensive, diverse, and progressively responsible experience, including direct responsibility for supporting multi-disciplinary teams.

Preferred Qualifications

  • Graduation from an accredited college or university with a master’s degree in accounting, finance, business administration or related field. A Master’s degree will be considered in determining appropriate level, along with relevant grant/contract experience
  • Professional level management experience within a complex health-related research setting, with a preference for an environment that receives federal grants and contracts, like that in a Health Sciences Center
  • Familiar with CU procurement and accounting software such as Concur and Marketplace systems
  • Understanding of contract and administrative laws, including compliance regulations
  • Experience with various types of funding and accounts including grants, contracts, gifts, endowments, state funding, indirect cost recovery, consulting revenue, auxiliaries, and service centers

  • Demonstrated ability to self-manage priorities and be proactive in resolving issues

Salary and Benefits

The salary for this 100% full-time position has been established at $60,000-$65,000.

The salary for the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, career field, education, and area of expertise.

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the compensation at the time of posting.

This position is not eligible for overtime compensation.
