Posting Summary Rutgers, The State University of New Jersey is seeking a Program Administrator in Community Affairs at Robert Wood Johnson Medical School.
Reporting to the Executive Director of Telehealth Initiatives, the Telehealth Program Administrator manages the operations of the
Telehealth Initiatives (Project ECHO and eConsults) in conjunction with the Telehealth Program Core Operations Team and,
Rutgers support services (HR, purchasing, vendor management, finance and marketing). Additionally, the Telehealth Program
Administrator serves as the project manager for the eConsults offering, working closely with the eConsult Medical Director, the
Assistant Director of Data Quality and the RWJMS staff to support the implementation and on-going operations of the eConsults
pilot. and is responsible for the overall grant management for the department.
Among the key duties of this position are the following:
  • Leading and manage the day-to-day administrative functions of the department including supporting the hiring, purchasing and
    vendor management activities; general office operations including scheduling and working closely with Finance on all department
    financial reporting.
  • Assists in developing, preparing and executing budgets, plans of organization, and methods; assists in evaluating budget requests
    and making recommendations on these requests.
  • In conjunction with the Project ECHO Program Administrators, oversees all program milestones set by management and funders
    and tracks program costs and invoices to ensure budgetary parameters are met.
  • Supports Finance and Accounts Payable in timely management of vendor contracts, deliverables and all payments.
  • Manages the eConsults Project operations, working closely with the eConsult Medical Director and managing the e-Consult
    Scheduler.
  • Leads the development of internal evaluation metrics, dashboards and monthly reporting to monitor the status of all projects’
    goals and objectives.
    Assist with the development of marketing materials, use of social media campaigns and execution of the marketing and
    communications plans for the department.
  • Provides day-to-day support to the Executive Director and unit managers for scheduling of meetings and events and performing
    clerical activities such as maintenance of records and files, preparation of correspondence and development of new presentations and meeting materials as needed.
  • Continually seek ways to improve the effectiveness and efficiency of the organization’s operational functions.

COVID-19 Immunization Requirement Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility . Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine . Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications

Minimum Education and Experience
  • Bachelor’s Degree in Public Health, Education, Social Work, other health related field or Social Science field and at least five (5) years of progressively more responsible professional experience inclusive of day-to-day operational, financial and program management responsibilities in a business office, government agency or university setting.
  • Equivalent experience, education and/or training may be substituted for the education requirements.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must be proficient in Microsoft software (Excel, PowerPoint, Visio and Access Database).
  • Demonstrated knowledge is necessary of how to accomplish
    superior performance in a unionized environment.
Preferred Qualifications
  • Master’s Degree.
  • Professional experience in healthcare or social service administration and grant program or financial management.
  • Outstanding human relations and leadership
    skills, and the ability to function in a team environment.

Physical Demands and Work Environment PHYSICAL DEMANDS:
Standing, sitting, walking, talking and hearing. No special vision requirements. Ability to lift or exert force up to 25 lbs.
