Position Summary

The Human Resources Generalist provides operations and program support for Postdoctoral Affairs. The HR Generalist interacts with all levels of management and staff regarding a variety of HR issues, responds to employee inquiries and interprets University policies appropriately.

Reporting to the Senior Human Resources Business Partner for Postdoctoral Affairs, the ideal candidate is proactive and serves as an excellent relationship builder in a diverse and inclusive environment for postdoctoral researcher, casual and non-casual student and visitor appointments joining the Zuckerman Institute. The HR Generalist must be innovative and poised to provide the highest level of service to stakeholders within the Zuckerman Institute, as well as University colleagues including Central HR, the Provost Office, the Work Life Office and the Benefits Office.  

Responsibilities

  • Provides high level operational support for new hire intake and processing new hire paperwork for postdocs, students, casual hires, visitors and work study students. Processes payroll and PeopleSoft transactions including nominations and Template Based Hiring (TBH) using PAC ensuring accurate data entry processing and follow up.
  • Manages the casual hiring process, tracks temporary positions and advises the department and labs on the University’s casual and temporary hiring policies and procedures. Post jobs in TalentLink; enters TBH transactions in PAC and remains in contact with new hires prior to their start date, answering any questions they may have. Sets up new files, follows up on payroll documentation and interacts with lab managers as needed.
  • Serves as a backup for the Time Labor and Absence Management (TLAM) system.
  • Under direct supervision of the Sr. Human Resources Business Partner, plans onboarding activities for international new hires. Obtains new hire documentation, provides visa support, while providing responsiveness to inquiries for smooth onboarding.
  • Proactively manages the processing of visitors associated with ZI programs or those joining the Zuckerman Institute for short terms. Maintains confidential files and folders with visitor information and expiry dates. Follows compliance with CU protocols related to visitor categories.
  • Works closely with ZI labs and provides building access requests not associated with employee or academic hiring or appointments; this applies to lab visitors and collaborators complying with CU policies.
  • Triages weekly Expiring Users Reports through DIA and liaises with departments and labs on continued UNI access for collaborators.
  • Manages and maintains tracking logs of all new Postdoctoral Researcher appointments to ensure accurate processing of all visas and appointment transactions ensuring information is updated in real-time; ensure communications with postdocs is clear and helpful.
  • Liaises with internal and external constituents to resolve issues and ensures timely processing of new-hire post doc and student appointments, troubleshooting issues and confirming correct PAC data.
  • Orders and reconciles P-Card transactions in accordance with ZI and CU Finance deadlines and submits ZI HR’s payments for processing.
  • Assists with the selection and procurement of new hire and visitor complimentary gift items with ZI branding.
  • Functions as a communication liaison on behalf of the Executive Director of Human Resources and Academic Affairs. Works closely with the Executive Director on the delivery of short-term and long-term programs. Schedules employee and staff meetings; lunch and learn sessions; maintains the Executive Director and the HR general calendar of events. Assists with monthly metrics reports.
  • Additional responsibilities as assigned.

Minimum Qualifications

  • Bachelor’s degree, including a minimum of 2 – 4 years of relevant experience is required. Advanced degree preferred. Prior experience in academic environment or Medical Center highly desired.

  • The successful candidate must be proactive and engaging, flexible in nature, possess sound judgment with a collaborative style that fosters teamwork and cooperation beyond the immediate team to the broader organization.
  • Possess a passion for excellent customer service and commitment to exceptional quality.
  • Be able to demonstrate excellent interpersonal, written and oral communication skills, including active listening skills.  Strong editorial and grammatical expertise essential.
  • Analytical and quantitative skills is highly desired, along with demonstrated project management experience.  This role requires tact, discretion and confidentiality at all times.
  • Must be capable of working independently, with strong organizational skills, as well as collaboratively, and take a proactive approach and anticipate needs.
  • Excellent computer skills in MS Office Suite, particularly Word and Excel.
