Position Overview As part of the shared services model within the Division of Finance and Administration (DFA), the Fiscal Technician 1 is part of the finance team responsible for processing financial and personnel transactions. The primary function of this position is daily transactions involving accounts payable, deposits and electronic personnel action forms while working in collaboration with the Auxiliary Business Services team and reporting to the Auxiliary Services Administrative and Fiscal Operations Director.
Unit Overview The Division of Finance and Administration (DFA) consists of multiple units with Auxiliary Services as one of these. Auxiliary Services includes Campus Mail, AuxIT, the University of Idaho Golf Course, Housing & Residence Life, Idaho Eats, the VandalStores, Signature Events, Parking & Transportation Services, Cultural Events, Event Services, and Administrative Operations, which oversees ICCU Arena, Memorial Gym, Kibbie Dome, ISUB/TLC, Bruce Pitman Center and the Swim Center. Auxiliary Business Services provides financial, personnel and other services for the above departments and shared services within DFA.

Position Responsibilities

Key Accountability Provide fiscal support by:
Job Duties
  • Overseeing accounts payable using the University’s software to process accurate and timely payments.
  • Reconciling of purchasing card transactions and monitoring activity for compliance with university policy and procedures.
  • Depositing daily activities from multiple units.
  • Compiling financial reports, utilizing University computerized bookkeeping system (Banner, Vandal Web, Payment Works, Jaggaer and Argos) and variety of internal software systems.
  • Working with the Auxiliary Business Services’ team to process timely and accurate financial transactions to include travel and non-travel and purchase orders, requisitions and service contracts.
  • Performing tasks and special projects as assigned.
Key Accountability Provide administrative personnel support by:
Job Duties
  • Processing electronic personnel action forms within the University’s system in compliance with Human Resource policies and procedures.
  • Maintaining an internal personnel action software used to communicate position details throughout the units.
  • Resolving conflicts between the two systems working with unit supervisors to ensure accurate information is received and recorded in the UI system to include Retroactive Pay Requests and Special check requests.
  • Working with the Auxiliary Business Services’ fiscal technician II and III to timely process personnel actions.
Key Accountability Provide other administrative support by:

  • Providing customer service through in-person interactions, email and phone.
  • Maintaining filing and processing systems within the office.
  • Sorting and distributing mail.
  • Assisting with maintaining office supply needs.
  • Keeping updated and informed on departmental programs and objectives.
  • Attending educational workshops and meetings.
  • Contributing to a pleasant and safe work environment while maintaining a professional manner.

Position Qualifications

Required Experience Work experience that demonstrates:
  • Experience with financial record keeping methods
  • Experience researching and compiling financial information and preparing summaries and reports
  • Using computer software and applications for word processing, developing spreadsheets and email
  • Experience with payables and/or receivables
  • Experience using computers to enter, retrieve and edit financial data
Required Education
  • High school diploma or equivalent
Required Licensures, Certifications or other
Additional Preferred
  • Bachelor’s degree in business or related field
  • Experience working in higher education
  • Experience with Banner Finance and Human Resource modules
  • Proficient in computer software used to create spreadsheets and written communications
