Information & Responsibilities

SUMMARY

Responsible for finance and budget control functions for the School of Music and School of Dance.

Requirements

ESSENTIAL JOB FUNCTIONS:

• Provide support to the Deans in the analysis and preparation of their annual budgets and give financial recommendations based on current and previous year analysis, financial goals, project research, operating plans, and departmental requests.
• Assist Deans with budget planning for faculty and staff hires. Coordinate with HR, the Provost, and the technical staff union to ensure compliance and best practices are followed
• Develop and distribute written policies and procedures to structure the purchasing and payment processes. Provide the necessary coaching, support, and guidance to assist staff, faculty, and students in navigating these financial policies and systems.
• Reconcile all GL lines monthly, provide Deans with account summaries and budget analyses, and catalogue information for the purpose of detailing grant expenditures.
• Plan and coordinate the details of all production budgets, student project grants, and faculty grants. Ensure spending is within award amount.
• Coordinate with the Director of Operations and the Deans to oversee visiting artist, faculty, and staff travel arrangements and hospitality for the School of Music and School of Dance in
• Work with vendors, staff, faculty and students to coordinate payments. This includes approving budget, sending, and collecting hiring documents, coding, and processing invoices, signing petty cash slips, and reviewing and approving staff/faculty PCard purchases.
• Prepare and process all vendor forms, check requests, travel reimbursements and required paperwork for all visiting artists, in coordination with faculty, staff, and Deans.
• Create and maintain detailed documentation for all projects and provide the Dean’s Office with regular reports on visiting artist hospitality and itineraries.

Qualifications

SKILLS/ABILITIES:

• Strong attention to detail, quality, accuracy, financial acumen, and data integrity and ability to develop complex and accurate models
• Use discretion and uphold the confidentiality of sensitive financial information, facilitating collaboration institute wide.
• Strong analytical and organizational skills, excellent written and verbal communication skills.
• Intermediate-to-advanced technology skills to use various technology solutions or a strong ability to identify new ones.
• Some level of project management ability to manage multiple projects/analyses at a given time.
• Excellent customer service skills and ability to work cooperatively with diverse audiences.

EDUCATION AND EXPERIENCE:

• Bachelor’s degree with an emphasis is accounting or equivalent years of professional experience desired.
• Three to five years of bookkeeping/accounting experience
• Excellent Excel and working knowledge of Microsoft Office and Google Suite required.
• Experience in higher education preferred.
