Job Description Summary

The Weingarten Center works closely with Penn faculty, student organizations, and our many campus partners to offer programs and workshops throughout the academic year.
The Financial Administrative Coordinator reviews, processes, and monitors financial activities for the Weingarten Center under the supervisor of the Associate Director for Operations. The Coordinator is well-versed in handling student employment, BEN financial transactions, and Workday. The Coordinator is responsible for managing financial and personnel functions for staff, including temporary and student workers. The Coordinator reviews, processes, and monitors financial activities for the Weingarten Center. The incumbent provides administrative support to the Weingarten Center by handling front desk operations when staff members are out of the office for personal time, meetings, and lunch break. The Coordinator serves as the departmental liaison for technical and equipment needs and manages basic updates to the departmental website. The Coordinator’s position serves a critical need in handling financial matters in a timely, accurate manner as well as being part of the Operations team, filling in when needed to assist with front desk operations.

Job Description

Duties:

  • Support the mission of the Weingarten Center by assisting in the administration of programs and services that provide tutoring, training, and access to resources which will enhance the academic performance of students.
  • Obtain required hiring documentation to enter new employees or update existing employees in the University’s payroll systems by serving as a liaison to the Onboard Penn Center. Verify payroll submissions for account information, accuracy, and adherence to University policies and procedures. Manage payroll issues including additional pay, late pay, payroll verification, etc.
  • Review, process, and monitor financial activity for department by reviewing requests for accuracy and adherence to University policies and procedures; process financial transactions; prepare forms for staff reimbursements, payments to vendors, and or conference travel arrangement.
  • Manage and perform personnel and weekly payroll functions in Workday for staff including tutors and student workers (about 400 per year)

Qualifications:

Bachelor’s degree required and 3-5 years of administrative and financial services or equivalent combination of education and experience. Advanced knowledge of Microsoft platform, including Word, Excel, Powerpoint, Adobe Proficiency in learning financial software (BEN financials). Strong customer service. Experience working in a fast-paced environment. Ability to manage time and multiple projects. Excellent business writing and proofreading proficiency. Must be detailed oriented with excellent organization and interpersonal skills. Possess a strong commitment to diversity.
