Executive Assistant to the Vice President for Community Engagement

Job Description:

The Executive Assistant serves as the primary administrative support for the Vice President for Community Engagement. The position has an in-depth understanding of the Vice President’s role and responsibilities including institutional engagement, directing the Swearer Center, and relationships with external communities, and supports the effective and efficient execution of those responsibilities. The Executive Assistant provides administrative support and contributes to special projects as assigned by the Vice President or direct supervisor. They may also fulfill administrative support needs for the Associate Vice President of Government and Community Relations. The Executive Assistant performs several key functions including relationship management, project management, scheduling, and other logistics such as expenses and travel. The ideal candidate is customer service-focused, detail-oriented, resourceful, organized, efficient, proactive, self-motivated, and committed to social justice.

Qualifications

  • Required: Associate degree or equivalent with 3 years of related experience, or the equivalent combination of education and experience (e.g. bachelor’s degree and 1 year of experience).
  • Preferred: Administrative experience in an academic or higher education setting preferred. Experience in Executive Support and project management preferred.
  • Excellent organizational, administrative, and time-management skills plus meticulous attention to detail.
  • Excellent computer skills in word processing, spreadsheet and email applications. Familiarity with Google suite products (Google calendar, docs, sheets, forms).
  • Ability to efficiently manage multiple tasks with competing priorities.
  • Ability to work independently as well as part of a collaborative team.
  • Ability to handle confidential or sensitive materials with discretion.
  • Ability to take initiative and prioritize in a fast-paced environment. Ability to take initiative and anticipate the needs of the organization.
  • Strong customer service orientation. Ability to interact professionally with multiple audiences and people from diverse backgrounds.
  • Excellent interpersonal/ verbal and written communication skills.
  • Demonstrated commitment to furthering diversity, equity, and inclusion initiatives, and interest or track record in supporting students from historically underrepresented and/or minoritized backgrounds.
  • Preferred: Diplomacy and ability to engage with high-level administrators.
  • Preferred: Process and systems-oriented. Ability to problem-solve.
  • Preferred: Experience with project management software
