Work Schedule 40 hours per week. The incumbent in this position is required to have a regularly flexible schedule to accommodate events schedule, including nights and weekends. Occasional holiday work required.
This position is designated as mandatory staff during adverse weather or emergency events and, when contacted to report to work, the employee is expected to reach the campus as quickly as possible using normal precautions as dictated by adverse weather conditions. In the event of an area disaster, the Student Activity Center may be designated as an emergency shelter or for emergency operations.
Primary Purpose of Position Performs a range of student services including coordinating event and meeting logistics for the department as well as providing invoicing and tracking of event satisfaction.
Serves as Event Manager for designated events within Venue Management spaces.
Assists in the hiring, training, and supervision of student event staff.
Also supervises contracted event staff and medical personnel when deemed necessary.
Minimum Education/Experience Required Minimum Qualifications:
Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Graduation from a four-year college or university; or an equivalent combination of education and experience.

Essential Job Duties
  • Serves as Event Manager for designated events throughout the facility and across athletic facilities.
  • Role as onsite liaison for event space which includes working with client throughout the duration of the event process including pre-event preparation, event, and post-event evaluation.
  • Gathers and disseminates all pertinent event related information to various areas in the department, and where applicable, to the university community.
  • Prepares and distributes 25live report(s) and event calendar(s) on a weekly basis.
  • Serves as liaison for athletic department in terms of nonathletic event scheduling for both Student Activity Center and across athletic spaces.
  • Oversee the scheduling of salons, ATAC Video Room, and SAC Player Lounge.
  • Serve as alternate for the Athletic Practice Schedule.
  • Assists with the coordination and scheduling of appropriate staffing needs based on event needs including both student and contracted staffing.
  • Oversees the collection of post-event surveys to benchmark customer satisfaction.
  • Serves as Events Department Admin in regards to ordering/receipting supplies/equipment.
  • Provides excellent customer service to clients, patrons, visitors, and fellow staff.
  • Ensures event compliance with all safety, fire, and security regulations as well as a working knowledge of ADA requirements.
  • Proactively works to ensure a safe environment is provided for patrons, clients, and staff.
  • Conducts and participates in bi-weekly Event Meetings to engage fellow staff to identify challenges and areas for improvement.
Other Work Responsibilities
  • Develop and maintain strong relationships with both internal and external customers.
  • Develop working relations with University departments involved in event operations; including Conference Services, University Recreation, Facilities Management, Parking, Police, and Catering.
Departmental Preferred Experience, Skills, Training/Education
  • Master’s degree in recreation, sport management, higher education or related field.
  • Two to five years of large conference, athletic, or event experience.
  • Experience in scheduling, training, and managing student staff.
  • Experience with events specific diagramming and scheduling software.
  • Strong background in customer service, safety, and security.
  • Experience and/or working knowledge of crowd management best practices, ADA requirements, fire code regulations.
