The Office of Special Events & Protocol (SEP) is a part of the Chancellor’s Executive Office. Its primary function is to plan and manage events hosted by the Chancellor and campus leadership, as appropriate and for advising the UC San Diego community on all matters of protocol, visits by the UC Office of the President, Regents or high-ranking government officials and serves as the liaison to the Office of the Chancellor in scheduling the Chancellor’s participation at events. SEP also coordinates the University’s Medals programs and consults on program issues, events, ceremonies and dignitary visits sponsored by divisions throughout the campus community. SEP sets the stage for introducing potential donors and advocates to the excellence and innovation that are hallmarks of UC San Diego’s programs, faculty and students. Thousands of donors, dignitaries, elected officials, media, alumni, members of the community, faculty, staff, students and parents take part each year in events coordinated by SEP.
Residing within Special Events and Protocol and under the – direction of the Director of Special Events and Protocol, Advancement Events, the Advancement Events team’s primary function is to plan and manage the highest level of Advancement-focused events hosted by the Chancellor and/or Executive Vice Chancellor, and for advising the Advancement leadership team and staff to ensure the event experience meets established goals and objectives to advance the philanthropic priorities of the university. Special Event and Protocol, Advancement Events manages Advancement signature events across the units for all departments and schools.
Under the leadership of the Executive Director of Special Events and Protocol and the direction of the Director of Special Events and Protocol, Advancement Events, the Event Specialist uses skills as a seasoned, experienced professional, to provide comprehensive planning, coordination and management oversight of the highest level of Advancement signature events hosted by the Chancellor and/or Executive Vice Chancellor. Working across Advancement to support donor engagement and fundraising events to ensure the event program and experience meets established goals and objectives to advance the philanthropic priorities of the university. Designs, plans, and independently manages high profile events that set the stage for UC San Diego’s interaction with leading campus donors, alumni, elected officials, volunteers, and business leaders. Manages logistical details of all events from inception to completion, with the goal of producing innovative, high-quality events to enhance UC San Diego’s image, encourage philanthropy, support identified objectives, and to drive fundraising goals. Ability to develop and create event concepts with clear goals, objectives and strategies for large- and small-scale events and meetings that cultivate and steward prospects and donors. Serves as a mentor to other Advancement colleagues across campus to consult on event protocol, program, strategy, event budget creation and manages the event budget strategy to ensure parity in celebrations at the different levels of giving.
Must have access to reliable transportation. Occasional evenings and weekends may be required.

Bachelors’ degree in related area with 2-3 years relevant experience, or equivalent experience/training.
Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production. Ability to create events that meet the goals and strategies of department or organization to engage their constituencies. Skilled using software applications for event management, project management and virtual meeting management.
Demonstrated organizational and project management skills to work successfully with clients to produce high-quality events that meet client needs and appropriately represent the campus for fundraising events. Skills to provide excellent donor stewardship. Ability to develop and create event concepts with clear goals, objectives and strategies for large and small-scale events and meetings that cultivate and steward prospects and donors.
Demonstrated understanding of the philosophy of quality service and group process, with proven aptitude for working as part of a team. Highly developed interpersonal communication skills including political acumen and social perceptiveness. Demonstrate the ability to work collaboratively across units and with personnel at every level of the organization.
