Department Administrator

Brandeis University seeks to hire a Department Administrator to oversee daily operations and administrative support for the School of Arts and Sciences Office. (calendar management for the Associate Dean of Academic Affairs included). This will include support for the Senior Associate Dean for Undergraduate Education.

They will also be responsible for administrative tasks related to undergraduate education, including oversight of the Undergraduate Departmental Representative (UDR) program and Brandeis Core initiatives. Manages logistics of meeting and events for School of Arts and Sciences, including all events associated with the Brandeis Core. Lead other Dean of Arts and Sciences projects as assigned. Oversee student workers on assigned tasks.

Job Responsibilities:

  • Academic Affairs: Provide administrative support to the Associate Dean of Academic Affairs including calendar management, systems creation, tracking of various projects, and assisting with process implementation. Support department communications. Design and maintain databases related to curriculum, course enrollments, course evaluations, budgets, faculty authorizations, academic support, etc. Create and maintain systems for initiatives such as interdepartmental program reviews, external reviews, department/program planning, new course approvals, teaching award nominations and selection, Course Assistant/Grader requests; committees such as the Undergraduate Curriculum Committee; and all work of the Associate Dean of Academic Affairs.  Supervise student workers on related tasks. Estimated time: 40%

  • UDR Program: Manage all aspects (publicity, recruitment, selection, notification, meetings, training, assessment, budget expenditures) of Undergraduate Departmental Representatives (UDR) program. Answers questions and advises staff, students, and faculty on matters related to the UDR programs. Responsible for curating content and flow for the Undergraduate Departmental Representative program website and other undergraduate education affiliated sites. Oversees UDR program budget, including processing transactions. Oversees tasks of student workers and volunteers. 20%

  • Brandeis Core Activities: Manage virtual and/or live Brandeis Core events such as Critical Conversation and Small Group Discussions. Guide faculty in the creation of their programs, providing expertise and resources. Assess and report on outcomes for Critical Conversations and small group discussions. Manage event logistics for other Dean’s office events as needed. Provide administrative support for Brandeis Core faculty/staff subcommittees. Mentor student workers who perform assigned tasks related to Brandeis Core and event logistics. 30%

  • Other administration: Manage School of Arts and Sciences front office and assists with day-to-day administration and projects. Includes: greeting visitors at the front desk, answering general office phone number, managing general email box, managing p-card, etc.  Provide back up for Executive Administrator to the Dean. Perform general administrative duties as requested.  Estimated time: 10%

Qualifications:

  • Bachelor’s degree required; Master’s preferred 

  • 1- 3 years of related experience or AS/equivalent with formal administrative training plus 3 years work experience required
