For more than 40 years the Center for the Study of Women in Society (http://csws.uoregon.edu) has funded feminist scholarship at the University of Oregon. Our mission is simple: we create, fund, share and support research that addresses the complicated nature of gender identities and inequalities. The center is an organization under the Office of Research and Innovation. The Center’s staff is a small, dedicated team of professionals.

Position Summary

The Office Specialist 2 (OS) in the Center for the Study of Women in Society office provides support for the center as a whole, in particular to the Business Manager and Director. Under the supervision of the Director and the lead of the Business Manager, they work as primary reception person and office administrative support person; including coordinating workflow; maintaining calendars; scheduling meetings; maintaining electronic and hard copy records; arranging travel; writing, editing, and proofreading correspondence and other documents.

This position also works as the center’s event coordinator, often carrying out projects independently, including event planning, such as conferences, symposia, colloquia, etc.; making travel arrangements for guests and other event coordination, including contract creation and travel approval and reimbursements. This position will also assist the Business Manager with payment of invoices, faculty reimbursements, vendor and contract payments, and through the Foundation. This position receives a variety of assignments of moderate to extreme complexity that calls for initiative, independence, judgment, organization, and excellent communication skills. CSWS is a small research center, and thus a successful applicant should demonstrate an ability to multitask and work independently.

The OS2’s assignments typically require planning ahead and meeting numerous deadlines. This position coordinates expenditures through state and UO Foundation accounts and should be able to advise the department and faculty regarding the use of funds, using the Oregon Administrative Rules as a guide.

Minimum Requirements

• Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR
• Associate’s Degree; OR
• Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

• Excellent office skills.
• Commitment to create, fund, share, and support research that addresses the complicated nature of gender identities and inequalities.

Preferred Qualifications

• Three years’ experience with Banner.
• Fluency with University of Oregon Purchasing and Contracting Services; University of Oregon financial and travel policies; Cognos; and Concur.
• Accounting experience.
• Event planning experience.
