Job Description

The School of Art (SOA) at the Herberger Institute for Design and the Arts is looking for a Business Operations Manager (BOM) to develop, manage and control the business operations of the school. In this role, the BOM will be responsible for a wide range of duties which include, but are not limited to budgeting, forecasting, account reconciliations, purchasing card management, data analysis, reporting, procurement, inventory control, scholarship and award management, staff supervision, detailed tracking of expenditures and strategic planning, and acting as a resource for all SOA staff/faculty.

Essential Duties

• Accountable for planning, administering and ensuring integrity for all financial activities related to assignment
• Managing all quarterly forecasting, annual budget submissions and other similar tasks for assigned accounts within required timeframes
• Leading the execution of student scholarships by developing and maintaining appropriate reporting mechanisms to effectively analyze data, monitor balances, ensure Foundation funds are transferred, approve scholarships, work with the Scholarship Office to troubleshoot and alleviate issues/delays, and collaborate with schools in order to share information, make recommendations and provide guidance
• Managing and controlling personnel services budget, expenditures and revenues; reviews and authorizes purchase of supplies, services, and equipment.
• Handling the purchasing process for technology and facilities requests in accordance with established procurement and financial policies and maintaining detailed tracking of expenditures
• Maintaining an exceptional knowledge of ASU practices and policies in order to provide daily policy guidance and direction to staff and faculty in order to ensure compliance related to all fiscal matters
• Ensuring the day-to-day successful execution of all assigned fiscal duties, which may include purchasing, processing Workday documents, approving Workday transactions, planning, and account/PCard reconciliations for numerous accounts
• Routinely meet with leadership to review budgets, reforecast accounts, provide guidance and assist in navigating complex purchasing requests
• Coordinates internal and external audits, and prepares audit work papers.
• Ability to create spreadsheets and reports from various data sources
• Approving Surplus Property Requests
• Directs personnel matters such as payroll actions, classification, new hire actions, interviewing and selecting new staff.
• Supervising work of subordinate personnel, which includes hiring, termination, discipline, performance evaluation, work planning, etc.
• Completing other duties or projects, as assigned

Minimum Qualifications

Bachelor’s degree in a related field and six (6) years of directly related administrative experience which includes three (3) years of supervisory experience; OR, Ten (10) years of directly related administrative experience which includes three (3) years of supervisory experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

• Evidence of a Bachelor’s Degree in Accounting, Finance or Business, including knowledge of principles, practices and methods of accounting and budgeting
• Experience working in a higher education environment
• Demonstrated knowledge of accounting principles, practices and procedures.
• Experience using a financial management system (Workday, preferred)
• Experience with Adaptive Planning, ASU’s budgeting system
• Experience preparing, managing and forecasting multiple budgets
• Experience reconciling accounts
• Demonstrated knowledge of Concur and ASU travel policies and procedures
• Experience managing a departmental purchasing card and reconciliations
• Experience processing and approving scholarships in Peoplesoft
• Experience assisting in the operation of a fiscally sound environment
• Experience in  customer service skills
• Experience working in a fast-paced environment with competing deadlines
• Experience with Microsoft Office (Word, Excel, and Outlook)
• Evidence of effective communication skills

Working Environment

• Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
• Regular activities require ability to quickly change priorities which may include and/or are subject to resolutions of conflicts.
• Ability to clearly communicate to perform essential functions.
• Regular use of standard office equipment including, but not limited to computer workstation / laptop (keyboard, monitor, mouse), printer, fax, copier, and telephone.
