Position Summary
Reporting to the Faculty Director, the incumbent manages all aspects of the American Studies Program which involves undergraduate students and faculty from the professional schools as well as Arts & Sciences.
Responsibilities
The Assistant Director supervises the Center’s day-to-day operations, including coordinating the activities of the administrative assistant and student casuals. Responsible for the budget, endowment funds, and grants management, including account reconciliation; generates and analyzes financial reports for the Director and Board; prevents overdrafts. Manages flow of appropriate paperwork and transactions, including all appointments, to the relevant University offices, payroll, and purchasing; resolves all problems. Has DAF signature authority and approval authority for PAC transactions. Ensures compliance with university guidelines and procedures.
The Assistant Director works directly with the Faculty director, students and participating faculty, providing support with programming, curriculum planning, and the undergraduate major. Manages the maintenance of student records, and is responsible for editing and updating course offerings in the required bulletins. Acts as a resource to faculty and students; assists with immigration processing. Develops, writes, edits and oversees the updating of promotional material, including the Center’s website, brochures, conference notices and periodic reports. Coordinates with participating faculty and the Faculty director to organize and plan special events, conferences, and symposia. The Assistant Director coordinates events with other educational and cultural institutions and in general manages the scheduling, publicity and logistics of travel and lodging for guest participants.
Trains and supervises administrative assistant and provides guidance and coaching to work study students. Other duties as assigned.
Minimum Qualifications
Bachelor’s degree or equivalent and minimum of 2 years’ minimum qualifications related years’ experience required.
Other Requirements
Some experience with financial oversight required. Strong communication skills, both verbal and written, and ability to interact with individuals at all levels. Strong organizational and administrative skills. Must have initiative, discretion and an ability to work under pressure with good judgment without supervision. Computer literacy and proficiency in database management required.
