Reporting to the Manager, the Associate / Senior Associate’s role is to provide necessary administrative support to the Office of International Relations for activities relating to the collaboration with partner universities and student mobility activities which include (but are not limited to) the following:
Assist the Manager to implement and operationalize short immersion programmes.
Conduct preliminary research on suitable potential partners.
Coordinate meetings with potential partners in the assigned region, with the objectives of exploring potential collaborations with them in short immersion programmes.
Conduct discussions with faculty members to plan and prepare short immersion programmes, and coordinate follow-on discussions with partner universities
Administer relevant grants associated with short immersion programmes and the follow-up with students on the award’s deliverables and report submission.
Launch student applications to various short immersion programmes, conduct shortlisting and selection process including the final conveyance of outcomes to students.
Work with partner universities, faculty members, external agencies and students on the travel logistics and preparation of these trips.
Ensure that all invoices with documentation associated with the implementation of the programmes are in order and properly submitted to Finance for payment.
Organise information sessions and pre-departure briefings for these trips.
Follow-up with students on their deliverables.
Follow up on student appeals and feedback, with the intent to improve on future processes and selection.
Work with Manager to jointly strategise and implement IR’s strategy in the assigned region.
Cultivate and nurture relationships with overseas universities and institutions in the assigned region, with the objectives of exploring potential collaborations with them in areas such as student immersion programmes and academic exchanges.
Coordinate the formalization of such relationships through the signing of Memoranda of Understanding and Implementation Agreements.
Plan and coordinate visits of partner universities or overseas universities from the assigned region to SUTD.
Assist with the reporting on SUTD’s deliverables and milestones as well as updating of IR’s records and database.
Plan and coordinate SUTD’s participation in international education conference(s) in the assigned region.
Assist in website update, research, report compilation, and database update when required
Provide administration and logistics support for events when required.
Requirements
Bachelors Degree/GCE ‘A’ Level/Polytechnic
At least 5 years’ of relevant working experience within higher education environment.
Good command of Chinese language, both spoken and written, would be an added advantage
Previous experience in managing and coordinating programmes or events
Good proficiency in MS Office applications, such as Microsoft Outlook, Word, Excel, Powerpoint. Knowledge in graphics and web development softwares such as Photoshop, Front Page etc will be an added advantage.
Knowledge in web design, and in computer software such as Adobe Photoshop, Dreamweaver would be an added advantage
Good communication and interpersonal skills
Independent and excellent team player
Self-driven, meticulous and organized with a strong ability to multi-task in a fast-paced environment
Has a strong interest to interact with a wide variety of people
