Primary Purpose of Position The University Program Specialist (Work Order Analyst) will conduct a descriptive analysis of work order cycle time data and be able to identify specific patterns of activity within the data. He/she will utilize technical and analytical skills to create and update visualizations in Tableau and Excel.
Minimum Education/Experience Required Minimum Qualifications:
Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
University Preferred Qualifications:
Graduation from a four-year college or university and at least three years of program associate experience; or an equivalent combination of training and experience.
Essential Job Duties 1. Work with a team to provide work orders and facilities-related analytical information to FM staff as well as campus partners.
2. Convey professional and audience-appropriate communication to FM management and campus departments.
3. Design, develop and interpret facilities-related data and maintain reports.
4. Prepare and update financial reports in MS Excel
5. Provide descriptive analytics to identify specific patterns of activity within the data.
6. Justify financial information provided by immediate supervisor, FM senior leadership, and customers.
7. Collaborate with other units in FM to enhance or create new metrics for the department.
8. Use of technical skills to create and update dashboards in Tableau for increased analysis and visualization presentations.
9. Prepare managerial reports and perform various calculations to assist the supervisor.
Other Work Responsibilities 1. Identify areas for data cleaning and execute with the help of developers as needed.
2. Assist with website management and publishing.
3. Perform bench mark analysis against industry peers.
4. Perform other duties as assigned and/or delegated to support all Facilities Management operations.
5. Assist other Finance and Business Operations staff as needed.
6. Assist with developing standardized processes and procedures to ensure continuous improvement.
7. Proactively keep pace with industry developments.
8. Prepare and complete special projects.
Departmental Preferred Experience, Skills, Training/Education 1. Bachelor’s degree in a related field such as data analytics, mathematics, computer science, finance, or accounting. Master’s degree preferred.
2. Intermediate to advanced Tableau and Excel skills.
3. Experience working with data in a deadline-driven environment.
4. Ability to work independently and manage multiple competing priorities
5. Excellent analytical and critical thinking skills.
6. Knowledge of accounting, analytics, budgeting, and/or finance.
7. Knowledge of Python and Jupyter notebooks is helpful.
8. Strong attention to detail.
9. Demonstrated leadership and communication (verbal and written) skills.
10. Strong reporting and data visualization skills.
11. Website publishing experience helpful.
Necessary Licenses or Certifications Positions may be required to possess and maintain required certification, licensure, educational level, and/or experience criteria as applicable to the tasks being performed and follow applicable building codes.
