British Embassy in Lisbon is part of a worldwide network representing British political, economic, security and consular interests overseas. 

We are now seeking a top-quality Support Officer who will work at the heart of the British Embassy in Lisbon, in its Corporate Services Section.

The main purpose of this job is to provide Reception, Driving and Administrative duties.

Main Duties and Responsibilities:

  • Reception duties (approx. 15% of role);
  • Driving duties (approx. 55% of role), provide additional driving support on requests and programmes;
  • Provide general administrative support (approx. 30% of role);
  • Deliver excellent customer service, at all times;
  • Deal with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail (e.g.: answering telephones, transferring calls, attending to the public and checking in visitors, liaison with internal customers on conference room bookings, arranging transport or taxi bookings, liaison with security guards on visitor arrivals.);
  • Assisting departments with set-up for events in conference rooms or Residence, including set-up of IT equipment;
  • IT support: co-ordinate IT shipments, packaging and despatch;
  • Supervising contractors on delivery of supplies or during works.

Essential qualifications, skills and experience:  

  • Excellent interpersonal and communication skills with a strong customer focus;
  • Ability to work with contacts and colleagues at all levels or the organization;
  • Personal drive, willingness to go the extra mile and the ability to work autonomously as well as within a team;
  • Strong organisational skills with excellent attention to detail;
  • Flexible and resilient under pressure;
  • Fluent English and Portuguese (written and spoken);
  • Extensive driving experience and a clean record;
  • Good Microsoft Office skills and general basic IT skills.

Desirable qualifications, skills and experience:

  • Professional Driving experience;
  • Experience in face-to-face customer service or Administrative/Office management duties.

Other benefits and conditions of employment  

This is a full-time, term contract, for an undefined period, for at least 3-months, with the possibility of renewal. The contract duration will cover a sick leave absence and also provide additional driving support on requests and programmes, as well as administrative support on first aid re-stocking, contingency kit inventories, post distribution, and supervising contractors on delivery of supplies and during works

The work pattern will be 35h/week, Embassy working hours 09.00h-17-00h, on occasion need to work out of hours.

The British Embassy in Lisbon aims to offer an attractive working environment and remuneration package for this role of € 18,085.47 gross annual salary paid in fourteen instalments; plus a monthly meal allowance of €193.60. This salary is payable if the successful candidate is subject to individual income tax (IRS) in Portugal on the employment income in question. If the successful candidate is not subject to individual income tax (IRS) on their employment income in Portugal, and/or is not taxable elsewhere on such income, s/he will receive the above salary minus a reference amount approximate to the level of Portuguese tax that would be applicable if the income were subject to tax locally. Further information on this will be given to candidates during the recruitment process.

All staff recruited locally by the British Embassy in Portugal are subject to local Portuguese employment law as well as internal regulations in force at any given time.

The successful candidate will be subject to a professional background and security clearance and must have pre-existing work authorisation for Portugal in order to apply.

All applicants should have the right to live and work in Portugal. The British Embassy does not sponsor work permits.

The Embassy will not consider applications from existing staff who have not successfully completed their probation period or, in the case of staff on temporary contract who have not yet completed two thirds of their contract.

Working Pattern: This is a full-time position based the British Embassy in Lisbon. The British Embassy’s flexible working policy currently allows for staff to work remotely for up to two days a week.

The Embassy has an active L&D group and supports personal and professional development.  There are opportunities to undertake formal training courses, work shadowing and other, more informal activities to support induction and professional development.
