Main purpose of job:
The Governor’s Office in the Cayman Islands has an exciting opportunity for a proactive, enthusiastic and professional person to join a high-performing organisation as Administrative Officer, in support of H.E. the Governor and her team. This opportunity is a diverse, wide-ranging and rewarding role which supports the collaborative relationship between the UK and the Cayman Islands. It will involve working with a range of stakeholders across the UK, Cayman Islands Government and the Caribbean region. The jobholder will provide high-quality administrative and corporate service support to the Governor’s Office, and professional customer service to visitors. The job holder will also have responsibility for managing the UK flagship scholarship programme – Chevening – from advertising locally, to interviewing and supporting successful candidates as they transition to the UK. As a key member of a small team, the successful candidate will also be required to work across corporate, estates, accounts, health & safety and visit management.

Roles and responsibilities:
- Prepare and submit the monthly accounts.
- Manage visits by regional inspectors (e.g. Health & Safety, Security, Fire inspectors) and ensure subsequent recommendations are implemented and all relevant laws, rules and regulations are complied with.
- Manage the movement of official mail to and from the UK and the testing of emergency communication equipment.
- Provide estates support – securing accommodation for UKBS, lease negotiation, inspections, point of contact with landlords and liaise with the FCDO Estates and Accommodations team.
- Provide a professional frontline service to anyone contacting the Governor’s Office via phone or email, including dealing with residents and visitors in emotional or stressful situations. Queries can include urgent visa and passport enquiries often linked to medical emergencies overseas. Prepare relevant written responses on behalf of the Governor and Governor’s Office.
- Lead on logistics (e.g. accommodation, car hire bookings etc) for all inward visits to the Cayman Islands by UK Officials, Ministers and others.
- Lead on the UK Chevening and Chevening alumni relationship (Chevening is a UK-funded scholarship scheme to study a master’s degree in a UK university).
- Liaise with a range of stakeholders to provide diplomatic aircraft clearance and other ad-hoc clearances.
- Assist with the bi-annual Honours submission process by drafting short remarks for the Governor and carrying out ad hoc research.
- Manage Governor’s Office paperwork and records in accordance with Cayman Islands and UK laws. Appropriate training in both the Freedom of Information Act and Data Protection Act will be provided.
- Support the Corporate Services Manager and Deputy Head of the Governor’s Office with ad hoc tasks as required. This often includes assisting with IT work and with appointments to Governance commissions.
- Substitute for the Governor’s Executive Manager during holidays and as required.
