Senior Reporting Assistant
Organizational Setting and Work Relationships
The Senior Reporting Assistant will fulfil internal and external reporting requests. The incumbent is supervised by the Reporting Officer or another professional or more senior local staff depending on the staffing structure of the Office.
The Senior Reporting Assistant is expected to have contacts within the Organization and outside the duty station, as well as with partners and other stakeholders to collect information and monitor programme activities.

Duties
– Stay abreast of the operational developments and assist in the preparation of briefing notes and reports.
– Assist in consolidation of data and facilitate the preparation of periodic reports including Sitreps, Fact Sheets and other activity specific reports and in preparations of interviews to the local media and background briefings to the international media.
– Update regularly the relevant information tracking system(s), adhere to electronic filing requirements.
– Provide administrative support in routine services and activities within the Unit
– Accompany visits of foreign delegation and the media to refugee sites in the region, giving appropriate briefings, interpreting support and commentaries.
– Work closely with relevant colleagues to contribute to accurate and standard data presentation.
– Prepare and distribute meeting minutes in a timely manner.
– Consolidate and provide inputs for donor reports.
– Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).
– Perform other duties as required.

Desired Candidate Profile
The Senior Reporting Assistant is part of External Relations Unit and will be directly supervised by the Assistant External Relations Officer. The position will support the operation’s internal and external reporting function, with a particular focus on operational reports, donor reports, factsheets, flash updates and other evidence-based reporting products required to position UNHCR Venezuela’s work with internal and external audiences.
The successful candidate will be expected to coordinate and consolidate inputs from different units, including Programme, Protection, Field Units, Information Management and other relevant colleagues, ensuring that information is accurate, timely, coherent and aligned with operational priorities, donor requirements, UNHCR reporting standards and regional reporting needs. The position requires strong drafting, editing, analytical and coordination skills, as well as the ability to transform operational data, field inputs and protection analysis into clear and well-structured reporting products.
The successful candidate must have excellent drafting and editing skills in English and Spanish, strong attention to detail, sound analytical capacity, and the ability to manage competing deadlines in a fast-paced operational environment. For this position, fluency in English and Spanish, proficiency in MS Office applications, including Excel, and demonstrated experience producing reports, factsheets, briefing materials or other evidence-based written products are required.
Desirable qualifications include experience in humanitarian reporting, donor reporting; experience coordinating inputs from multiple units or field teams; knowledge of UNHCR’s mandate, operations and reporting standards; and demonstrated experience using AI software to support drafting, content adaptation, data synthesis, quality assurance and workflow efficiency.
