Administrative Coordinator – 1 to 2 yrs Exp Req – Full-time – Closed on FridayLocation: St. Charles, MO (100% On-Site, Non-Remote)Schedule: 4-Day Week: Monday-Thursday, Closed on FridayHours: 7:00a – 4:30p (36 hours paid per week)Work Status: Full-Time, Non-Exempt Hourly PositionCompensation: Starting at $19.00 per hour + BenefitsPosition OverviewThe Administrative Coordinator (Trust Secretary) attends to routine business matters on behalf of our client, a Trust whose mission is to ensure that those affected by physical challenges receive help and resources. The Trust Secretary also serves as liaison to the Board of Trustees.This entry-level position offers an opportunity to gain experience working independently, tracking grants and donations, and working directly with the Trust’s Board of Directors.ResponsibilitiesEnsuring proper procedure is adopted and all deadlines are metReviewing documents & applications for grants and ensuring all pages are completeContacting grant candidates whose applications are incompleteResponding to application requests in a timely manner via phone, fax, or emailIssuing checks for approved grantsNotifying applicants of grant approval or denial via mailed letterMaintaining quarterly grant review recordsMaintaining donation recordsComposing and mailing donation thank you letters and acknowledgmentsPreparing weekly deposit for the bankCommunicating with board membersPreparing and presenting agendas, financial information, and supporting documents at the Board of Trustees meetings

Preparing draft meeting minutes and acting on issues raised by the trusteesPaying invoicesQualificationsGeneral Office Administrative Work: 1-2 Years (Required)Windows PC Computer: 1-2 Years (Required)Microsoft Office: 1-2 Years (Required)QuickBooks: 1 Year (Preferred)Supporting a Board (Preferred)Proven track record of handling matters with discretion and confidentialityStrong organizational skills and attention to detailAbility to work independently and within a team in a shared office environmentExcellent telephone and communication skillsTravel to the annual National Convention to network and a full day of Trust activities.
