Who are we?

The British Embassy in Kyiv is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a Travel Officer to provide excellent customer service to staff and visitors at the British Embassy Kyiv, by managing travel bookings and the travel schedule for journeys in/out of Ukraine, and some occasional regional travel within Ukraine.

Main purpose of job:

As Travel Officer, you will manage the end-to-end travel coordination for staff and official visitors, ensuring safe, efficient and well-communicated movements. The role sits within the Corporate Services team and is critical to maintaining operational continuity, supporting rotations planning, and ensuring compliance with internal processes and security requirements.

Roles and responsibilities

You will oversee and maintain accurate schedules for staff and visitors travelling in and out of Ukraine, ensuring all relevant stakeholders are kept informed through up-to-date tracking documents and clear communications. You will be responsible for booking rail travel, including securing tickets via the Ukrzalisnytsia system at release times, and arranging accommodation for eligible visitors using Embassy facilities.

A core part of the role is providing clear guidance to staff and visitors on travel processes, ensuring required forms and approvals are completed correctly and in a timely manner. You will maintain and regularly update travel guidance and internal documentation, ensuring consistency and accessibility.

The role includes close liaison with the security contractor to coordinate transport arrangements, facilitate ticket collection, and monitor changes to rail schedules, responding quickly to disruptions where needed. You will also contribute to continuous improvement by proposing practical enhancements to rotation management systems and maintaining accurate digital records and trackers.

You will deliver a high-quality, responsive customer service experience, acting as a reliable point of contact for travel queries, resolving issues efficiently, and ensuring staff and visitors feel supported throughout their journey.

Support to the wider team:
As part of a collaborative Corporate Services function, you will provide cover for colleagues during absences and support wider administrative and operational tasks as required. This includes acting as a back-up requisitioner or purchaser (including use of a corporate credit card where authorised), and contributing flexibly to team priorities.

Skills and experience:
We are looking for a candidate with strong organisational skills, excellent attention to detail, and the ability to manage multiple priorities in a dynamic environment. You should be confident working with spreadsheets and tracking systems, comfortable liaising with internal and external stakeholders, and able to communicate clearly and professionally. A proactive, solutions-focused approach and a commitment to customer service are essential.

Essential qualifications, skills and experience

Our Ideal Candidate shows:

  • Full professional proficiency in English and Ukrainian at a minimum of C1 level according to CEFR*
  • Minimum 1 year of experience in travel industry or logistics
  • Good knowledge of MS Office packages (Excel, Word, etc)
  • Exceptional organisational skills and experience in an administrative role
  • Attention to detail
  • Strong interpersonal skills

Desirable qualifications, skills and experience

Nice to have:

  • Experience in a customer-facing or customer services role
  • Experience working in an international environment

This is a full-time, fixed-term contract for the period of 13 months, for 40 working hours per week including 1 hour per day for lunch.

The start date mentioned in the advert is just an expected start date. The appointment can start earlier or later depending on several factors.

Staff recruited locally by the British Embassy in Kyiv is subject to Terms and Conditions of Service according to local Ukrainian employment law. This is an official employment, and the salary is subject to official tax; currently 23%. The salary is a set rate and there are no additional allowances on top.

Training for the job will be provided, including time for a handover of duties.
