Job Summary:

Under general supervision of the UW-Madison Travel & Card Manager, this position will serve as the Travel Manager for the UW-Madison campus. The associated responsibilities include consultation, communication and training on travel reservations and use of contracts, travel policies, procedures, reimbursement, and payment options to ensure compliance with university requirements. This position, while centrally located in the Division of Business Services, works closely with faculty and staff from each school, college, and auxiliary on the UW-Madison campus.

Responsibilities: Manages a program and/or programmatic activities. Initiates, develops, and implements operational services that support a defined project, program, work unit, or function to advance program goals and objectives. May supervise staff and/or approve unit expenditures.

  • 20% Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement
  • 15% Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures
  • 20% Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications
  • 20% Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies
  • 5% May assist in the development and monitoring of the unit or program budget and approve unit expenditures
  • 20% Serve as policy/procedure resource for campus stakeholders via as-needed communications, website resources, and training.

Education:

Preferred
Bachelor’s Degree

Qualifications:

Required:
– Five years of travel industry related experience
Preferred:
– Proven ability to develop, evaluate, and implement policies and procedures
– Experience training new and existing users on policy and procedure and the use of supporting technology
– Experience in higher education accounting
– Experience working in higher education or managing a large corporate travel program
– Ability to multi-task and work under aggressive timelines
– Ability to work independently
– Intermediate Microsoft Excel skills

Work Type:

Full Time: 100%
This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location. Employee may be required to make irregular visits to the UW-Madison campus for occasional meetings, events, etc. UW-Madison will not reimburse travel expenses between the employee’s remote workspace and the UW-Madison workspace.

Additional Information:

Employee may be required to make irregular visits to the UW-Madison campus for occasional meetings, events, etc. UW-Madison will not reimburse travel expenses between the employee’s remote workspace and the UW Madison workspace.
