Working for the Department/Faculty

The Examinations and Timetabling unit, within the Office of the Registrar, oversees the creation and maintenance of the university’s academic class schedule. They manage the official course record, coordinate the final exam schedule, and assign classroom spaces.

Position

Reporting to an Assistant Registrar – Enrolment Services, the Timetabling Coordinator is responsible for the accuracy and integrity of the official course record and class schedule. This is critical to ensuring that students are able to successfully register, course information is correctly reflected on students’ transcripts, and fee assessments are accurate. As course offerings routinely change, the coordinator will often come across new situations that will require them to use their problem-solving skills to ensure information is correctly updated.

Supporting a diverse network of departments, faculties, and colleges, the Timetabling Coordinator will develop and maintain strong working relationships with colleagues across the university. 

Duties

  • Using Campus Solutions, the Timetabling Coordinator updates and edits all course record data.
  • Evaluates and edits the class schedule for Fall/Winter and Spring/Summer.
  • Identifies, investigates, and solves problems related to course scheduling.
  • Monitors daily course activity including: addition of new class sections in Campus Solutions, room change requests, and enrolment activity.
  • Assists students, departments, faculties, and colleges with registration-related questions.
  • Reviews statistical reports related to class scheduling to identify potential problems and collaborates with scheduling staff across campus on resolutions.
  • Evaluates class details, including technology requirements, in order to determine appropriate allocation of centrally-scheduled space.

Minimum Qualifications

  • University degree or related diploma with additional years of experience.
  • 1-2 years of administrative office-related experience.
  • A thorough understanding of University policies and procedures, especially in the areas of course scheduling, registration, and examinations.
  • Familiarity with the campus layout and facilities.
  • Excellent communication, organization, and interpersonal skills.
  • Demonstrated competence and aptitudede for working with technology, including Google suite and Microsoft Office.
  • Experience and familiarity with PeopleSoft Campus Solutions and Bear Tracks preferred
  • A logical and analytical mind with:
    • an aptitude for problem-solving.
    • an ability to differentiate between solving a symptom vs. identifying the root issue.
    • an ability to address current problems, while projecting and preventing potential future issues.
  • Strong organizational and time management skills; an ability to complete tasks and deliver expected outcomes under tight deadlines.
  • The ability to communicate effectively, collaborate with business users/stakeholders, and work harmoniously with others.
  • Agile and adaptable; capable of shifting focus as priorities change.
  • Self-motivated; takes the initiative and is resourceful.
