Student Services Specialist 1 (Hybrid)

The Institute for Stem Cell Biology and Regenerative Medicine, with 31 faculty and 45 graduate students, is devoted to exploring how stem cells are created, the mechanisms by which they are regulated and how they devolve into specialized cells. The ultimate goal is to translate this knowledge into dramatic new medical therapies for some of the world’s most serious and intractable afflictions. The institute is the leader in stem cell science and sets the foundation for regenerative medicine, attracting stellar graduate students and medical fellows who advance to positions as top scientists and academic leaders in their field.

We have a hybrid Student Services Specialist position open for a qualified candidate to provide administrative and operational support to our Student Services Officer 2, faculty and students on issues regarding admissions, financial aid, housing, registrar services, visa services, student life, advising, career counseling and academic services. Under the direction of the Student Services Officer 2, you will resolve routine issues of limited scope within your own work area using general guidelines and standards or precedents as reference. In order to be successful, you will be inflappable, self-motivated, be able to maintain/demonstrate a positive outlook with a customer-oriented mindset and transparency in process and communication both with students and faculty. It is critical that you exhibit the abilities to practice sound judgment and decision-making, effective written and oral communication, strong attention to detail and respectful relationship management with students and faculty. You will also possess the ability to connect with a diverse student population including socioeconomically and educationally disadvantaged, individuals with disabilities, and under-represented minority backgrounds is critical.

Duties include:

  • Review documents and forms for completeness, track files for follow up and distribute for review.
  • Research and resolve routine issues, refer complex issues to other staff.
  • Input data, update electronic databases, web sites, literature, and associated materials. May collect, gather and validate data, prepare basic reports.
  • Coordinate logistics for outreach activities, meetings, and events.
  • Respond to routine inquiries from students, faculty, external constituents, and staff.
  • Serve as a subject matter resource to students and other departments.
  • Contribute to general office administration and process improvements.
  • May train and direct day to day activities of student and temporary workers.

DESIRED QUALIFICATIONS:

  • Bachelor’s degree preferred.
  • Preferred experience with DEI initiatives, training, participation with committees or direct work with community programs.

EDUCATION & EXPERIENCE (REQUIRED):

Two year college degree and one year of relevant experience, or combination of education and relevant experience. Bachelor’s degree preferred.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • Strong written and verbal communication skills.
  • Basic computer skills, including experience with Microsoft Office Suite.
  • Customer service skills.
  • Basic office administration skills.
  • Ability to learn compliance with legal, financial, and university policies and external regulations.

PHYSICAL REQUIREMENTS*:

  • Frequently sit, perform desk-based computer tasks.
  • Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.
