Job Description
The School of Manufacturing Systems and Networks seeks an individual in the role of full-time Student Services Coordinator, Senior to provide front line student services and triage to internal and external constituents, including students, faculty, and staff at the Polytechnic campus. This role will be responsible for oversight and coordination of our front desk area as well as administrative projects supporting the school and academic advising team. This position is a great opportunity for professionals who are looking into a future career in higher education and/or academic advising. Hybrid work is not an option in this position due to the responsibilities and expectations in office.
This position is part of the new School of Manufacturing Systems and Networks (MSN), one of the seven schools in the Fulton Schools of Engineering (FSE). The School of Manufacturing Systems and Networks is integrating academic programs and innovative research to address current and future manufacturing challenges and improve sustainability and generate economic opportunities to revitalize manufacturing in Arizona and beyond. The academic programs and research portfolio of the School of Manufacturing Systems and Networks are designed to address the next-generation engineering challenges that are transforming manufacturing systems. Students will gain the transformative skills needed to impact the future of work, including industry 4.0, autonomous systems and processes, and systems engineering. Essential Duties
Responsibilities include but are not limited to: Provide administration and coordination of program processes, activities, and services to School of Manufacturing Systems and Networks, and support the MSN degree programs and advising office. Position will report to Assistant Director, Academic Services within MSN.
60% Administration support for the School of Manufacturing Systems and Networks
- Lead for school’s front desk, answering general phone queue, and email queue
- Supervise front desk student employees
- Maintain professional presence/environment in welcome areas and lobby
- Assist with ISAAC access and permissions for MSN
- Manage the scheduling of conference rooms associated with MSN
- Support event planning and execution; staffing of school events/activities
40% Advising Administration and Support
- Lead for advising front desk and answering general phone queue for advising services
- Lead for advising email queues
- Build and maintain the schedule of classes for specific MSN courses (MFG and new one), update faculty workload reporting for business office
- Communicates with university partners including University Classroom Scheduling, Registrar’s Office, and the Engineering Dean’s Office to resolve or assist with the resolution of classroom, enrollment, and system issues
- Provide general administrative support to the advising office team and school leadership
- Assist or lead special projects that support the advising team and MSN
- Participate in and support advising events, such as orientations and webinars
- Management of graduate degree applications and support of graduate student recruitment including:
- Coordinate graduate admissions application evaluation with faculty admissions committee, including data analysis and processing of recommendations in GPortal
- Student Services support through Salesforce, phone, in person, Zoom and Slack
- Provide graduate recruitment and admissions data by running reports using Amazon Work Spaces, Analytics, PeopleSoft, AppXtender, and evaluate utilizing Excel and/or Google Sheets.
Minimum Qualifications
Bachelor’s degree in a field appropriate to the area of assignment AND four years administrative/coordinate program experience; OR, Master’s degree in field appropriate to area of assignment AND two years administrative/coordinate program experience; OR, Eight years of progressively responsible administrative/ coordinate program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

- Evidence of effective communication skills.
- Strategic thinker and self-starter: Ability to problem solve, apply critical thinking, and time management skills;
- Collaborative Thinker: Working independently as well as a member of a team.
- Analytical mindset: Organizing, collecting, analyzing and reporting a variety of data in written, verbal and electronic formats.
- Experience with Peoplesoft, Salesforce, Analytics, is a plus.
Working Environment
- Activities are primarily performed in a regular, climate-controlled office setting subject to extended period of sitting. Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching and lifting up to 20 pounds.
- Ability to clearly communicate to perform essential duties.
- Ability to work both independently or within a complex structured team.
- Normally receives no instructions on routine work and general instructions on new assignments with review of completed tasks.
- Exercises judgment within generally defined practices & policies in selecting methods & techniques for obtaining solutions. Interact with a diverse set of national and international students.
- Work environment may require a combination of in office and telecommuting depending on space constraints.
