Student Services Assistant, Graduate and International Programs

The Graduate & International Programs Office is seeking to hire a Student Services Assistant to serve as the front desk administrator for our office suite. The Student Services Assistant will be the first point of contact of our department for prospective students, current students, alumni, faculty, and staff.

The Student Services Assistant will support the administrative functions for our offices and will also deliver a high level of customer service and professionalism to our visitors who call, email, or come into our offices. The Student Services Assistant will aid in the delivery and coordination of student services and activities, including assisting in counseling and advisement of students.

Preferred Qualifications:

  • Master’s Degree in Education or related field is strongly preferred.

  • At least 1 year of academic support services experience required; 3 or more years of experience in student services preferred.

  • Experience in working with international students, study abroad or work experience abroad desirable.

  • Admissions or other similar database, as well as USC Student Information System or similar database experience preferred.

Job Accountabilities:

  • Manage front office and serves as the first point of contact/customer service representative for our department.

  • Provide program information to telephone inquiries, prospective student visitors, current students, and alumni. Respond to inquiries and requests for information requiring knowledge of departmental and university policies and procedures.

  • Assist in general academic advisement functions. Respond to questions from faculty, students, staff or outside external sources regarding policies and procedures related to registration, course scheduling and availability, degree checks, transcripts, diplomas, academic status, petitions, admissions or financial aid.

  • Schedule and coordinate meetings for advisors and senior leaders in department. Make room reservations, set-up conference calls, and make parking reservations.

  • Support application processing, maintain applicant records in admissions database, organize application materials, and coordinate the mailing of admissions materials.

  • Communicate and provide information to current students regarding academic policies, deadlines, and event information.

  • Review and maintain student records, input data, and generate letters and/or lists utilizing the student database.

  • Manage the ordering of office supplies/equipment for the department and maintain budget of all expenditures.

  • Assist with departmental mailing needs, including various packages that go out to recruitment events, admitted students, and alumni.

  • Assist with our alumni outreach, including maintain alumni database and update contact information.

  • Research and collect data for departmental reports, as requested, to help develop new program initiatives and make improvements to existing services.

  • Maintain confidentiality and control access to information within current student files, application files and course grades.

  • Provide support for all student events including orientation, commencement, networking & alumni events, early bar preparation workshops, career development workshops, academic support workshops, etc.

  • Performs other related duties as assigned or requested. The university reserves the right to add or change duties at any time.
