The Office of Admissions handles freshman, transfer, graduate, international, and other applicant types who wish to apply to Texas A&M University. The office is also responsible for recruiting and enrollment of an academically prepared student body that is geographically, ethnically and economically diverse. In addition, Admissions also offers several opportunities for prospective students and their families to visit campus throughout the year to learn about the rich traditions and culture of Texas A&M University.

What we want

The Office of Admissions is seeking a Program Manager (CRM Administrator) who will operate as a member of the Data Analytics and CRM team that provides software development and support in a multi-platform environment to enhance the enrollment management operations for Undergraduate Admissions as well as other university internal and external constituents. The Program Manager (CRM Administrator) assists with the daily operations of the Slate CRM including system maintenance, query development, process automation, data integrity, system security, integration with other campus systems, staff training, constituent management and the development of new Slate features. This position oversees one full-time direct report. Time management, flexibility, meticulous organizational skills, attention to detail, and the ability to work as a motivated self-starter are all crucial for success in this position. Salary Range: $50,162.00 – $64,480.00 (Based on selected hire’s qualifications)

Required Education and Experience:

  • Bachelor’s degree or any equivalent combination of education and experience.

  • Five years of administrative experience, which includes one year of database management experience, program experience,  and/or event planning experience, as well as two-years’ experience supervising and training employees.

Required Licenses and Certifications:

  • Must have a Class “C” vehicle operator’s license or ability to obtain within 30 days of employment.

Required Knowledge, Skills, and Abilities:

  • Must demonstrate a commitment to consultation and cooperation with students, faculty, staff and administrators.

  • Must possess strong interpersonal and communication skills with the ability to visualize, organize, and provide feedback to Leadership.

  • Ability to manage multiple competing priorities at one time.

  • Ability to assist with the planning, installation and operation, and effective utilization of multiple software platforms.

  • Working knowledge of data management concepts including relational databases, data security, data governance, and database maintenance.

  • Strong computer skills to include Microsoft Excel, Word, and Outlook.

  • Strong verbal and communication skills.

  • Must demonstrate the ability to work in a diverse environment with a diverse population representing various interests and perspectives is essential.

  • Ability to multi-task and work cooperatively with others.

  • Strong customer service, and strong verbal and written communication skills.

Preferred Education and Experience:

  • Master’s degree in higher education, business administration, or related field.

  • Five or more years of experience in a position requiring managing multiple constituents and providing customer service.

  • Previous experience working in higher education admissions or related field with organizational processes.

  • Three years demonstrated production experience with software application development and/or database management.

  • Previous experience with CRM, document imaging software, admissions and/or university software including Technolutions Slate and Ellucian Banner.

  • Experience with programming languages such as HTML, XML, SQL, VBA, JavaScript, etc.

  • Experience with statistical software (R, SAS, Stata, etc.) and/or data visualization software (Tableau, SAS Viya, etc.).

  • Coding experience with one or more programming languages such as HTML, SQL, XML, JavaScript, etc.

Preferred Licenses and Certifications:

  • Basic Level Slate Operator Certification.

Preferred Knowledge, Skills, and Abilities:

  • Ability to function in a deadline- driven environment with multiple projects simultaneously.

  • Prior knowledge of Slate CRM, or demonstrate a high aptitude to learn.

  • Understands utilities of the Slate Administrator Dashboard.

  • Understands the needs of our stakeholder base.

  • Understands the workflows and database management, including entity management and creation. 

Responsibilities

  • CONSTITUENT MANAGEMENT – Serves as the Slate Subject Matter Expert. Oversees assigned constituents, including the network of Slate users across Texas A&M University at College Station. Develops profile of each Slate stakeholder community, including Undergraduate Admissions at College Station and Galveston Campus, colleges, departments, and non-admissions constituents. Acts as the liaison between end-users and technical support groups in order to facilitate constituent needs. Completes all work requests submitted via Slate Help Desk by assigned constituents, which may include a new form, event, population, dataset upload, scheduler event, folder, communication, query, report, landing page, portal or template request. Provides Slate Communications Management, including knowledge of Slate email, text and other communications features, email template expertise, and communication drip campaign management expertise. Assists in developing strategic plans and goals to support the program.

  • CRM DATABASE MANAGEMENT – Manages Slate CRM Database maintenance, query and report development, process automation, data integrity, database security, portal building and management, event and form building, staff training, and Slate helpdesk management and constituent management. Develops requirements for configuration of Slate implementation. Manages utilities of the Slate Administrator Dashboard, including managing all administrative functions of the Slate database. Creates forms, portals, populations, fields, prompts, event templates, and set up rule automations, as needed. Participates in annual cycle prep.

  • CRM DATABASE SECURITY – Manages and coordinates activities related to the security of data maintained in the Slate CRM Database. Manages the security of information system access. Establishes security  protocols and accesses standards and criteria. Develops and manages the annual audit report to  maintain university accreditation. Oversees the annual audit of Slate user accounts. Manages and maintains database user accounts, including population management. Creates protocols for the sharing of data from the Slate CRM  database to outside sources. Develops and maintains standards for disaster recovery, emergency planning, and business continuity.

  • TRAINING AND CRM DATABASE ADVANCEMENT – Oversees and manages the development of Slate training for users, including creation of training modules for Readers and Reviewers, creation of training modules for Administrators of Slate, creation and delivery of online training modules – synchronous and asynchronous, and creation and delivery of in-person training workshops to be hosted across the university and in off campus Prospective Student Centers in order to meet the unique needs of each area and to support staff development in the area of CRM. Regional travel is required to conduct trainings for staff. This duty requires the ability to drive a University or other motor vehicle. Oversees the gathering of business processes requirements and converts them to technical specifications. Assists in developing and coordinating the implementation of new database functionality.

  • PROFESSIONAL DEVELOPMENT – Serves on office search and planning committees. Attends and presents at state, regional, and/or local conferences. Represents the Office of Admissions on campus, within the community, and/or at the state level when needed.

  • Supervisory – Trains and evaluates student employees and deploys student assistance in support of Slate programs, projects and events. Performs other duties as assigned.
