Senior Section Administrator
Medicine – Research
Location:  New Orleans, LA
Summary
Works with the Associate Provost for the Health Sciences and Center Director on multiple extramural and intramural grants to manage calendar, coordinate meetings (internal and external), and manage the personnel to support Center goals. The position is responsible for scheduling and coordinating of the Center Director/Associate Provost’s calendar, unit meetings, logistical arrangements for conferences, workshops, and meetings, coordinating and processing of travel arrangements, processing and tracking expenditures, and preparing reports and correspondence. The Senior Section Administrator will serve as a central point of contact for all units reporting to the Center Director and the Associate Provost for the Health Sciences and will assist with events and programmatic events as needed. The position supports the Associate Provost in her other administrative roles including Senior Associate Dean for Faculty Affairs, Associate Dean for Public Health and Medical Education, and the Jack Aron Chair in Primary Care Medicine as well as all of her research projects) by coordinating with staff in other offices to schedule special projects and events, as assigned, and perform data entry for registrations (e.g., faculty development initiatives). The position supports the Aron Chair in all areas necessary to help develop the newly established school-wide Center for Health Outcomes Implementation and Community-Engaged Science (CHOICES). Will work with the relevant faculty and staff to achieve faculty career development and research program goals. Will assist faculty, staff, and student workers with existing and new grants, from funding proposal to implementation and conclusion. Will assist with personnel hiring and onboarding. Will assist with managing supplies equipment and space and ensure compliance with Biosafety and OEHS policies. Will work closely with Sponsored Projects Administration and Grants and Contracts Administration and ensure financial compliance with external and internal funding sources. Will work closely with the SOM Department of Medicine – Administration and the Provost’s office to prepare annual budget and prepare variance reporting.
Required Knowledge, Skills, and Abilities
• High proficiency with advanced computer software packages required.
• Excellent verbal and written skills required.
• Strong financial skills required.
• Ability to prioritize and function independently, and to work well as part of a team
• Ability to walk up 2 flights of stairs and carry up to 10 pounds
• Ability and willingness to work in office with COVID-19 safety precautions and travel to nearby offices/clinics for program support as needed.
Required Education and/or Experience
• Bachelor’s Degree in business, management, finance, or related field
• 5 years’ directly-related experience in business/accounting
Preferred Qualifications
• Master of Business Administration (or equivalent) strongly preferred
• Experience with extramural funding mechanisms, particularly National Institutes of Health funding mechanisms.
• Experience processing and managing large grants, particularly NIH. Experience with research compliance
• Experience in the patient care environment including direct patient handling, physician billing & collections, insurance filing, etc.
