The Department of Microbiology at Harvard Medical School seeks a talented and enthusiastic individual to join our growing community as a Senior Grants Manager. The ideal candidate for this role will have demonstrated experience in all aspects of pre- and post-award grants management and possess the technical and interpersonal skills to thrive in a fast-paced, forward facing work environment. This position will report directly to the Assistant Director of Finance and Administration and will be eligible for flexible working arrangements (remote work) once fully established as an independent contributor to our group. As a manager of sponsored and non-sponsored research projects, this individual will administer all pre- and post-award activities for an assigned research portfolio for interdisciplinary faculty whose funding sources include federal, industry, private, and non-sponsored awards. They will work directly with senior and junior faculty members and their labs to create and submit proposals, lead the budget development process, authorize and approve expenditures, review monthly, quarterly and annual financial reports and effort certifications, forecast financial scenarios, and make sound recommendations for sustainable spending plans.

The Senior Grants Manager will be expected to work independently with minimal supervision in a large research department environment. They will also support the Microbiology Business Office team and be expected to participate in special projects to support the Department. They will provide an outstanding level of customer service to a broad customer base on a wide range of standard and complex pre- and post-award activities. They will provide a management-level liaison with other university offices, the financial offices of relevant HU departments as well as other universities connected to the lab’s research programs, federal and private funding sponsors, and potentially with industrial biotech interests. They will work closely with collaborators on funding opportunities and joint ventures. The pre-award responsibilities for the Senior Grants Manager position include identifying and disseminating funding opportunities, proposal and budget creation and development, application submission, and liaising with the HMS Sponsored Research Administration, the Office of Sponsored Programs, the Office of Technology Development on industry sponsored research agreements, as well as collaborators at other academic and start-up institutions. Post-award responsibilities include overseeing and managing funds and communicating with the lab. They will work closely with the lab and department on the monthly expenditure reconciliation, interpreting and applying financial and compliance-related policies, ongoing monitoring of special terms and conditions, and preparing financial updates for Principal Investigator, sponsors, the department and Harvard central offices. In addition, the other duties include preparation of agreements, and drafting of other research related documents (billing agreements, etc.). The candidate will also update, track, and review effort certifications for research personnel and will work with the PIs to determine appropriate funding allocations. This position will use a high degree of judgment and problem-solving skills to communicate analytical insights and apply Department, University and sponsor guidelines throughout the sponsored project life cycle. Overall, the position is entirely responsible to provide all financial support to faculty members for the portfolios they manage and be financial advisors to faculty to make portfolio related decisions such as mitigation of deficits, hiring new staff, reduction of supply expenditures based on burn rates etc.

Basic Qualifications

4+ years of experience, with 3+ years of those years in pre- and post-award management experience (both federal and non-federal), required; a combination of education and experience may be considered.

Additional Qualifications and Skills

Bachelors degree in finance or accounting and/or CRA certification preferred.

This position is based in Boston and some in-person on-campus work will be required, and flexible/remote work is an option. Any remote work must be performed in a state in which Harvard is registered to do business (CA*, CT, MA, MD, ME, NH, NY, RI, and VT).
