Senior Administrative Assistant, Opera of the Future

SENIOR ADMINISTRATIVE ASSISTANT, Media Lab, to manage complex administrative matters for the Opera of the Future research group and academic head of Media Arts and Sciences, function as a high-level coordinator of multiple projects, and serve as an information resource on all projects and productions. Will develop and use in-depth understanding of content domain of the group’s research/production to manage and respond to inquiries; handle confidential issues; facilitate professor’s communication; coordinate travel, purchasing, etc.; schedule and coordinate group calendars and monitor deadlines and important events; provide administrative and production assistance for academic course; engage with external colleagues, press, sponsors, collaborators, and visitors; coordinate artistic and research productions, including budgets, contracts, timelines, reporting, and liaising with partners; assist professor with resolving and facilitating issues; develop integrated project plans and archives; manage all aspects of meetings, conferences, events, and workshops; coordinate sponsor visits and all aspects of hosting an event; handle financial activity; coordinate logistics for faculty meetings; serve as principal point-of-contact for faculty searches and orchestrate candidates’ visits and logistics; and perform other duties as assigned.

Job Requirements

REQUIRED:  high school diploma or its equivalent; five years’ experience as an administrative assistant to a senior manager; excellent organizational and verbal and written communication skills; discretion, diplomacy, and good judgment; ability to handle multiple and sometimes competing tasks/priorities in a fast-paced environment, learn quickly, and collaborate effectively with a creative and diverse group; advanced-level computer skills; and meticulous attention to detail and accuracy.  PREFERRED: bachelor’s degree, proficiency with Macintosh computers and MS Office, familiarity with MIT business applications, and interest in arts administration.  Job #21924-6
