Senior Administrative Assistant II, Office of Student Financial Affairs and Scholarships

Reports to: Executive Director

Purpose: This position performs an important role in furthering the strategic mission of the Office of Student Financial Affairs and Scholarships by providing administrative support to the executive director, and streamlining administrative procedures and processes across different units that fall under the office. The position holder also assists the executive director in personnel management, developing and maintaining office procedures. The position holder responds to graduate and undergraduate students’ inquiries and requests either in-person or via generic email related to scholarships and financial aid.

Principal Accountabilities:

  • Manage and maintain the executive directors’ appointments and travel arrangements
  • Compile statistical reports for presentations and generate charts and graphs to be used in periodically presented reports
  • Develop and maintain databases of stakeholders including VIPs, NGOs and other organizations’ contacts
  • Assist the executive director in developing and maintaining office policies and procedures
  • Oversee the office’s day-to-day activities by providing adequate support to the staff and management
  • Maintain SAP operations, including fund reservations, purchase requisitions, supply store orders, annual leaves, and others
  • Maintain office equipment/supplies and monitor the office’s inventory
  • Assist the executive director in the assessment of staff needs, propose training solutions and coordinate staff retreats and development sessions
  • Assist in the logistics of the orientation program for scholars and newly hired staff
  • Maintain the necessary files and records on SAP related to the department’s personnel
  • Act as a liaison between the HR department and the office by preparing and coordinating appointments of staff, follow up on requested promotions, attendance, overtime, leaves, administer performance appraisal process and others
  • Respond to graduate and undergraduate students’ inquiries and requests related to scholarships and financial aid
  • Act as a focal point of contact for students: receiving, assessing and filtering cases for referral
  • Address students and parents’ complaints, provide support whenever needed and direct the complaint to the executive director or the concerned personnel in case it’s not resolved
  • Work closely with the Office of Marketing Communication and Public Affairs to develop program brochures, flyers, banners and other publicity material as needed and maintain an updated website
  • Perform any other related duties as assigned

Requirements:

Minimum Education Requirement:

  • University degree and relevant administrative experience required

Experience:

  • Minimum of 5-7 years of relevant experience, preferably in an academic setting

  • Professional and diplomatic approach
  • Excellent computer skills “Microsoft Office Suite“, knowledge of SAP is an asset
