Senior Administrative Assistant-Academic Integrity Office

Reports to: Director, Academic Integrity Office

Purpose: To provide administrative support to the Academic Integrity Office

Responsibilities:

Academic Integrity Office (AIO)

  • Serve as the initial point of contact for the AIO stakeholders and perform standard office procedures
  • Organize and prioritize information and calls such as sort and distribute email, take messages and answer all calls and occurring requests for information.
  • Direct inquiries to the appropriate person/office.
  • Monitor all office related emails and mail boxes and answering queries in a timely manner.
  • Answer general inquiries about the website, etc. and provide overall office assistance.

Administrative responsibilities

  • Maintain all records for the office.
  • Perform standard office procedures, draft correspondences, data entry, scanning, photocopying and filing correspondence, reports.
  • Manage the director’s calendar.
  • Schedule meetings and book appointments; Determine the nature of each meeting or appointment and ensure materials and support data are provided.
  • Reserve rooms for all AIO related meetings, workshops, events and academic integrity committee hearings.
  • Attend and take minutes (including action tracking) at all AIO related meetings and academic integrity committee hearings to track action items.
  • Track and document the office leaves.
  • Assist with the day-to-day operations of the office.

Budgetary responsibilities

  • Assist in preparing and tracking of the office annual budget.
  • Create and settle general payment requests, PRs, POs, and fund reservations on SAP.
  • Responsible for petty-cash settlements.
  • Monitor and track financial logistics office expenditures.

Office logistics

  • Handle all AIO related events’ logistics.
  • Assist with overseeing student compliance of sanctions and report to the director for follow-up.
  • Assist with managing confidential digital database in advocate system (e.g., uploading additional documentation, evidence, notes and outcomes of meetings and hearings, etc.);
  • Assist with organizing and implementing awareness campaigns.
  • Assist with organizing and implementing student, faculty, and staff orientation sessions.
  • Assist with organizing and implementing Academic Integrity Matters workshops and sanction-related workshops.
  • Assist with organizing and implementing any new project for the office.
  • Perform any other related tasks as assigned

Requirements:

Minimum Education Requirements:

Experience:

  • 5-7 years of previous experience including 2 years in administrative jobs

Skills:

  • Ability to communicate orally and in writing with different constituencies of the university (faculty, staff, students, parents, administrators)
  • Excellent English language skills
  • Ability to diffuse conflicts with professionalism
  • o Ability to maintain high confidentiality
  • o Discretion and tact when dealing with sensitive or confidential issues
  • o Ability to multi-task
  • o Strong organizational skills/ detailed oriented
  • *Knowledge of SAP is an asset
