About the role

We are recruiting for a Senior Administrative Assistant – Examinations to provide efficient and effective support in the arrangements of examinations and assessments for FE and Skills (FES) across Buxton and Leek College. As part of the Examinations Team, you will be expected to promote excellent customer service and contribute to the development and operation of the examinations and assessment service. You will assist in the delivery of a high quality, professional service to students, delivery teams and external stakeholders.

Please note this role is part time, 30 hours per week.

Principal accountabilities

  • Undertake internal and external examination arrangements within the FES including; liaison with teaching staff, support staff, students and external stakeholders, to support the delivery of exams. 
  • Register students with various awarding bodies using a variety of external 
    systems/websites and internal systems.
  • In a timely manner, enter students for exams using a variety of awarding body systems. Liaise with tutors and students where necessary to make suitable arrangements – including access arrangements. 
  • Co-ordinate the administration of access arrangements and special consideration allowed by external Awarding Bodies. 
  • Be responsible for monitoring the receipt of correct examination papers, maintaining the appropriate level of security. 
  • Book suitable accommodation for FES exams and assessments.
  • Book invigilators and ensure all materials are available prior to the exam/assessment start time. 
  • Manage and supervise a team of invigilators and carry out invigilation duties in exams, when required. 
  • Produce and update timetables for FES exams. 
  • Despatch completed scripts and coursework to external awarding bodies and moderators. 
  • Comply with regulations laid down by Awarding Bodies and the Joint Council for Qualifications at all times. 
  • Monitor the receipt of results and certificates from awarding bodies and distribute to staff and students as appropriate. 
  • Enter achievement data on the Management Information (MI) system. 
  • Undertake enrolment duties as required.
  • Monitor outstanding results and pursue as necessary with academic staff. 
  • Respond to internal and external enquiries, within the scope of the post and refer other enquiries to the appropriate member of staff. 
  • Deputise for the Examinations Team Leader, when required. 
  • Take an active role in the updating and development of new practices and procedures to continuously improve the level of service. 
  • Carry out any other duties commensurate with the level of responsibility of the post and as required by the Manager.

    Essential Criteria
    Qualifications

    • Academic or vocational qualifications at Level 3 or above or equivalent experience.

    Experience

    • Experience in a busy administrative environment.
    • Experience of working in a customer service environment.

    Skills, knowledge & abilities

    • Knowledge of work practices, processes and procedures in legislative/regulatory environments.
    • Ability to manage multiple activities/projects and successfully deliver within set deadlines.
    • IT literate.
    • Initiative and judgement to resolve and respond to many problems independently.
    • Ability to work as part of a team and alone.
    • Good written and verbal communication skills.
    • Accuracy and attention to detail.
    • Ability to work towards conflicting deadlines in a busy environment.
    • Proven communication and interpersonal skills
    • Manage own time/prioritise work effectively.

    Business requirements

    • Willingness to work outside of normal hours at times as relevant to achieve targets and meet the needs of the FES provision.
    • Ability to occasionally work at each location where the FES activity is located.

    Desirable Criteria
    Qualifications

    • Academic or vocational (business administration) qualification/s at Level 4.
    • IT Qualification(s).

    Experience

    • Education sector experience .
    • Knowledge of examinations and assessments in FES.
    • Working knowledge and understanding of systems and services in an FES environment.
    • Developing and implementing policies and procedures at an operational level.

    Skills, knowledge and abilities

    • Presentation of management information for decision making.
