About This Opportunity
We are seeking an experienced, motivated, energetic and highly organised Senior Administration Officer to support the effective and efficient operation of the BEL Faculty Research Office.
The primary purpose of the position is to provide a wide range of senior administrative services to support the effective and efficient operation of the BEL Faculty Research Office.
Key tasks include document management; providing interpretation, advice and decisions on rules and entitlements; coordinating office-related financial and procurement processes; liaising with internal and external stakeholders; and providing administrative subject matter expertise as relevant to the role and function.
Responsibilities
Core

Designs and delivers a range of administrative/business processes and activities in consultation with relevant staff, to meet the identified business requirements

Plans and implements high-quality administrative systems, standard operating procedures and office protocols

Provide administrative expertise to support a range of activities

Highly adept and guides others in the application of a range of desktop-based programs and management information systems

Respond to complex or non-routine inquiries which may require interpreting policy, procedures and entitlements as relevant to the role

Liaises with internal and external stakeholders to build and maintain relationships which support the operational objectives of the function/department

Undertakes financial administration responsibilities, including exercising the appropriate financial delegation in accordance with University policy and procedures

Coordinates travel arrangements, including trip planning; travel administration and post-travel reconciliation

Coordinates and provides high level administrative support to a range of administrative and academic committees

Supports the successful delivery of events and other engagement activities

Organise seminars as required, including liaison with key contacts and guest speakers

Processes accounts payable (raising orders, paying invoices, processing claims for reimbursement, and preparing overseas payments and internal service charges) in accordance with relevant University policy and procedures

Undertakes complex data entry, retrieval, compilation, visualization and management processes

Coordinates and/or leads projects within the office/function/department

Maintains project records, including quarterly reports, IP registers and contracting documentation
About You
Candidates require highly effective administration, coordination and interpersonal communication skills and demonstrate a commitment to providing a high level of customer service.

A degree with subsequent relevant experience; or extensive experience and specialist expertise or broad knowledge in technical or administrative fields; or an equivalent combination of relevant experience and/or education/training

Demonstrated skills in providing a high level of customer service, including excellent interpersonal skills

A high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint and Outlook)

Office management skills and capabilities

Demonstrated ability to understand and apply a range of rules, policies and processes with regard to the regulatory and legislative context

Excellent written and verbal communication skills

Skills in project coordination

Highly effective organisational, time management and problem solving skills

Working knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge.
What We Can Offer
This is a casual position at Hew 6.
The casual pay rate for this position will be between $54.45 – $58.49.
The number of hours per week is flexible, however on average will be approximately 15 hours per week.
