Position Summary

Our Unit:

The Pathways Programs are an innovative and collaborative organization of experts driving Michigan State University to continually improve the services, practices, and activities for holistic student success.  Our unit is committed to empowering undergraduate students to pursue knowledge, access resources, and develop skills needed for success.  Our goals align with the broader institution goals of closing opportunity gaps for underserved (first-generation, low-income, Black, Latinx, and/or Native American/Indigenous) students by increasing persistence, retention and graduation rates, and decreasing time to degree.  Housed in the Office of the Provost, the unit reports to the Associate Provost for Undergraduate Education (APUE). 

 

Overview:

This position will be responsible for processing all fiscal transactions (under the guidance of the FO) for the Pathway Programs in the NSSC-
Detroit MADE Scholars, Dow STEM Scholars, and TRIO student Support Services.  Reporting to the Deputy Director of the NSSC, the position supports
the programs’ operations, physical facilities, assist in fiscal management, and student staff supervision.

Primary Duties

50%

Assist in the management of Support Pathways fiscal, grant, and human resources administration under the guidance of the NSSC Fiscal Officer.  Assist the FO with the following:

  • Review and make notes for Pcard transactions for FO to approve
  • Adding support documentation for Service Provider billings, Service billings, stores, student ACA, manual payroll fees for Pathways program.
  • Be a delegate for travel request, make travel reservations, expense reports so FO can approve
  • Purchasing and managing expenditures in alignment with account and grant program allowable costs. 
  • Create vendors, submit DVs Requisitions, Payment request, Cash receipts
  • Assist the FO with student employee hiring and payroll approval.

  • Support professional staff with logistics for events
  • Provide secretarial support for administrators and departmental staff
  • Attend meetings, webinars, trainings, and conferences in support of TRIO programs (as needed)
  • Performs other duties normally associated with a Secretary I or II in order to ensure the completion of necessary work
  • Assist the FO in researching and collecting data in order to assist in preparation of grants, proposals, and Departmental reports.

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in maintaining accounting ledgers and/or experience in word processing, spreadsheet, database, and/or desktop publishing software. The job may require knowledge of presentation and web page software and technical or medical terminology and/or technical training related to the field of employment, or an equivalent combination of education and experience.

Desired Qualifications

Strong skills in documentation, tracking, and data compliance. Strong data management and organizational skills. Experience with Campus Solutions, MSU EBS, and Blumen TRIO data systems. Should also have basic computer skills, as well as familiarity with multiple software applications.
