Job Description:

The Department of Medicine, Administration is seeking a full time Research Administration Manager. The Department of Medicine is the largest department in the University of Florida’s College of Medicine with over 1000 total employees in 14 subspecialty divisions, each with its own division chief, faculty and staff. This position reports to the Assistant Director for Research Administration and supervises the research administrative staff on the core medicine administrative team and manages post-award activities. Post- award activity also includes department specific tasks such as funding verification, annual payroll distribution entry and ongoing updates, generating monthly PI reports and departmental audit reports.  As supervisor this person will be responsible for ensuring the team completes these tasks in accordance with departmental standards and UF policy.  The ideal candidate will have at least three years of supervisory experience and minimum of six years of experience with NIH and post award grants management. The incumbent must be highly organized and motivated individual with a capacity for hard work, able to work within team and have strong customer service skills.

Essential Funtions;

Management and Supervision
As the Department manager for research administration you are responsible for supervising the team and ensuring compliance for both centralized and de-centralized research administration with regards to post-award management.  This position serves as initial point of contact for questions from team, holding regularly scheduled meetings and shared training activities with Assistant Director of Research Administration. The incumbent also acts as liaison for the Department of Medicine faculty and program directors with VA Research Office, College of Medicine Office for Research Affairs, and Dean’s Personnel office, the Division of Sponsored Research, and granting agencies such as the NIH, American Heart Association, and American Lung Association.

Coordinate preparation of monthly PI reports, Departmental reports (balance, date, distribution and action plans).  Review monthly for completion and ensures actions are appropriate and completed timely.  Responsible for ensuring monthly fund reconciliation completed and that funds are used in the proper category.  Manage budget transfers from a category to another when required.  When funds are received and certain amounts are designated for individual personnel must coordinate personnel functions under terms of grant involved.  This requires maintaining control so that the proper dollars are used. Complete annual department overhead audit report and review with supervisor and Assoc. Director of Finance. Assist with pre-award activities as needed based on volume of proposal activities in the department and serve as back-up for RAIII staff.

Works with Assistant Director of Research Administration to prepare the team for annual departmental budget.  Responsible for reviewing and updating budget workbook tools used by team, ensuring the completeness of funding verification and following up with division administrators related to errors and unfunded research. Ensure team enters annual distributions in accordance with sources approved during budget. Assisting with post budget funding issues or errors.

Manage PI award transfers to/from UF. For transfers to UF will require working directly with PI and former institution to ensure award set-up and fund transfer in timely manner. For those PIs leaving UF, work with RA assigned to ensure all institution policies and departmental standards are followed.

Other duties as assigned.

Expected Salary:

$77,000 – $84,000 Annually

Minimum Requirements:

Bachelors degree and four years of experience in grant and contract administration; or an equivalent combination of education and experience.

Preferred Qualifications:

Three years of supervisory experience.
At least six years of pre and post award experience specific to NIH, DOD contracts and DOH.
Experience with award transfers between institutions.
