Job Summary

The Research Program Administrator is a high-level administrator that supports the research of students and faculty through meticulous tracking, coordination, and program management. The incumbent serves as the frontline proponent of HSDM research by coordinating student research, identifying grant opportunities, sharing student and faculty research accomplishments, and organizing successful and well-attended research events. Working collaboratively with internal and external constituents, the Research Support Manager is an integral part of the mission and vision of the School, endeavoring to expand the HSDM research portfolio and elevate the excellence of basic, clinical, and translational research.

Position Description

  • Tracks all research requirements for DMD, MMSc, DMSc, and DMD/PhD students within the School.
  • Maintains detailed records of student and faculty research.
  • Assists first-year students with selecting a research mentor and establishing a research project.
  • Assists students with their applications to the Scholars in Medicine Office through a three-part course, Research in Dental Medicine .
  • Provides general guidance to DMD students related to their research projects, research reports, and troubleshooting issues; works collaboratively with mentors, program directors, and the Office of Dental Education to ensure students remain on track and complete their research requirements.
  • Assists students and junior faculty with IRB/IACUC applications and troubleshooting.
  • Collects, maintains, analyzes, and reports out on HSDM research accomplishments including research grants, paper publications, and research awards received.
  • Identifies grant opportunities and distributes grant announcements to the HSDM Research community.
  • Collaborates with the Office of Grants to identify and update the HSDM Research community on policy changes, as necessary; serves as a point of contact for Office of Grants staff for grant applications and other related matters.
  • Maintains an extensive student research guidebook and separate research guidebooks for various programs.
  • Organizes research events with assistance from the Program Coordinator, including but not limited to the Annual Student Research Day, Giddon Lecture, Goldhaber Research Symposium, HSDM seminars, faculty poster day, scientific advisory board meetings, ground rounds, and chalk talks.
  • Oversees the Office of Research budget; monitors and tracks spending; communicates budgetary updates and concerns to the Associate Dean for Research.
  • Collaborates with constituents from the Forsyth Institute on joint educational and research initiatives.
  • Assists the Associate Dean for Research with developing and implementing a new Research Strategic Plan, emphasizing expanding HSDM’s research portfolio and elevating the excellence of basic, clinical, and translational research.
  • Collaborates with the HSDM Communications team to identify and provide content for HSDM social media accounts, websites, articles, etc.
  • Identifies content for the Office of Research website.
  • Designs, writes, and distributes a bi-monthly research bulletin which includes research highlights and community updates.
  • Represents the Office of Research on the HSDM Committee on Advanced Graduate Education (CAGE).
  • Participates in committees and working groups, as assigned.

  • Basic Qualifications

  • Bachelor’s degree
  • At least 5 years of professional experience in research support, academic program management, or similar work in biomedical research
  • Knowledge of federally-sponsored research processes, procedures, and regulations; strong research skills
  • Strong project management skills with a demonstrated ability to independently manage projects to completion, establish priorities among multiple simultaneous deadlines, and provide timely responses to deadlines and requests
  • Ability to work well independently and as part of a team
  • Proficient computer skills including Microsoft Office Suite, Google Docs, Dropbox, Zoom, and Microsoft Teams
  • Excellent writing and editing skills, including the ability to translate complex scientific concepts into written pieces for a general audience; able to produce compelling, well-written, and error-free work with minimal guidance
  • Experience managing a budget; knowledge of general accounting principles
  • Ability to develop and maintain professional and collaborative relationships with internal and external constituents including faculty, staff, students, guests, and vendors
  • Ability to work occasional evenings and weekends for the purpose of coordinating and/or representing the Office of Research at events
  • Ability to perform the essential functions of the position with or without reasonable accommodation.
  • Ability to successfully pass a comprehensive background check at hire.
  • Additional Qualifications and Skills

  • Master’s degree
  • At least 7 years of professional experience in research support, academic program management, or similar work in biomedical research
  • Experience with computer programs such as Canva and Adobe Creative Cloud
  • Working Conditions

    The primary work location for this position is Boston, MA and some in-person on-campus work will be required.  Any remote work must be performed in a state in which Harvard is registered to do business.  In order to be on Harvard payroll, you must reside in one of the following states – CA (exempt employees only), CT, GA, IL, ME, MD, MA, NH, NJ, NY, RI, VT, VA, WA.  Individual flexible and remote work options for this role will be discussed during the interview process.
