Job Description:

Proposal Preparation and Submission:
Assist faculty in the preparation and submission of timely and compliant proposals to a variety of agencies and sponsors.  Advise faculty on required documents and compliance requirements as detailed in the sponsor solicitation.  Coordinate with internal and external offices and collaborators as necessary to insure successful proposal submissions.  Responsible for all entry, approval routing, and submission to the Division of Sponsored Programs (DSP) for review/submission to the sponsor through UFIRST.

Agreement Support and Management:
Assist faculty members with the submission and monitoring of documents related to all activities that route to DSP through the UFIRST Agreements module.  Serve as a point of contact between the Principal Investigator (PI) and DSP to ensure consistent communication and progress on agreement negotiations.
Post-Proposal Submission

Post-Award Management and Reporting:
Provide comprehensive management of sponsored funds.  Meet regularly with faculty to review award and funding portfolios, provide financial management and projections, and offer analysis and advice on project management.  Review and approve financial transactions; manage payroll distributions/effort, process budget transfers, incremental funding releases, budget modifications and adjustments, advance funding requests, supplemental funding requests, ensuring proper allocation of expenditures to sponsored research projects, subaward monitoring, no cost extensions, cost sharing, cost transfers, non-financial report submissions, closeout.

Other Support and Backup:
Collaboration and support for other HWCOE team members.  Attend regular departmental meetings both with the RA team and individual meetings with the Associate Director.  Provide backup support, and training as needed for co-workers.  Collaborate with fiscal staff to ensure fiscal compliance.  Participate and assist with drafting departmental workflows and policies.  Attend external UF meetings and trainings as appropriate.  Assist with special projects and reporting requests as needed.

Expected Salary:

$51,500 – $62,000; commensurate with qualifications and experience.

Minimum Requirements:

Bachelor’s degree and two years of experience in grant and contract administration; or an equivalent combination of education and experience.

Preferred Qualifications:

Ability to communicate well both verbally and in writing with faculty, staff, and various funding sponsors.

Ability to evaluate and give technical assistance in the preparation and submission of proposals and to evaluate data relative to proposal submission.

Knowledge of post award research administration.

Ability to understand and utilize problem solving techniques while being detail oriented.

Proficiency in Adobe and Microsoft Office applications such as Excel, Word, Outlook, and PowerPoint.

Ability to interpret University and sponsor polices and apply working knowledge to ensure a high quality of support and customer service.

Ability to manage competing deadlines.
