Job Summary:

The Department of Pediatrics is seeking a Multi-Functional Research Administration Manager to join our friendly, supportive, and dynamic team and provide grants administration leadership and support to faculty, researchers and trainee investigators in the Department. This position will supervise a team of four staff members, and will provide leadership and support with a primary focus on proposal development through award setup for Department of Pediatrics (DOP) investigators and staff.
Responsibilities include working with principal investigators and research staff to develop non-technical proposal documents, ensuring compliance with sponsor, state, and university requirements particularly in regard to budget development and accuracy, facilitating the proposal review, routing and submission process, completing JIT requirements, and working closely with both pre and post award staff to ensure efficient and compliant management of awards. This position will also have the opportunity to develop workflows and processes to streamline and improve support for DOP research, with a focus on providing exceptional customer service and compliance with university policies, procedures, and regulations. Responsibilities: Manages research administration activities from proposal preparation through closeout on behalf of a unit. Reviews and approves proposal submissions, contract negotiations, project setups, compliance, and/or financial reporting. Develops and oversees implementation of operations and strategic planning to ensure compliance with regulatory requirements within a school/college/division/unit. May manage a programmatic unit and/or personnel.
  • 10% Executes research administration operational policies and procedures including financial, administrative, staffing, and compliance on behalf of a unit
  • 15% Reviews and approves programmatic transactions spanning the life-cycle of sponsored projects to ensure compliance with institutional and/or sponsor policies and procedures
  • 25% May supervise the day-to-day activities of research administration staff
  • 10% Serves as a key resource to leadership and staff in the unit as well as a liaison to partners and stakeholders
  • 25% Executes activities related to proposal submission, contract negotiation, and/or award setup on behalf of a unit
  • 5% Executes activities related to financial compliance, audit, or reporting on behalf of a unit
  • 5% Provides training to faculty, staff, and/or administrators within the unit regarding policy, procedure, and/or execution of sponsored project administration
  • 5% May have authority to submit proposals, agreements, or invoices to a sponsor on behalf of the principal investigator or project director

Education:

Preferred
Bachelor’s Degree

Qualifications:

Required
– 2 years of experience working in research administration in a higher education environment, including coordinating/developing budgets & proposals for submission
– Effective oral and written communication skills, independent problem solving and analytical skills, attention to detail and organization, and an outgoing and energetic service-oriented approach
Preferred
– Experience in UW-Madison Research Administration
– Experience supervising, leading, and/or training others
– Ability to work effectively with faculty, staff, university administrators and funding agency representatives is critical.
– Ability to manage multiple projects, think critically, and effectively train and mentor others
– Experience with proposal preparation for a variety of sponsors including federal (NIH, DOD), nonprofit, state, and industry

Work Type:

Full Time: 100%
This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Salary:

Minimum $82,000 ANNUAL (12 months)
