Rehab Administrative Officer – 118712

This position will report to the Assistant Director of Outpatient Rehab, and be directly involved in managing and performing a variety of administrative services including but not limited to; maintaining Rehab charge validation work queues, assisting in scheduling front desk staff for Rehab Clinics, communicating and partnering with referring departments to ensure excellent patient care, and utilizing EPIC and other web based programs in order to carry out departmental tasks. This position will also help create, maintain, and communicate training documents and processes for our Front Desk scheduling staff. In addition, utilizing process improvement concepts to improve the quality of administrative work across all Rehab Clinics.

  • Administers a defined operational program or activities which may include some of the following functions: finance, facilities, payroll, training, human resources, communications, informational technology or safety.
  • Manages Rehab Call out process, ensuring clinic communication regarding providers who are out of office
  • Assists in the scheduling and coordination of Front Desk staffing resources between Outpatient Rehab Clinics.
  • Assists in Provider Template management
  • Assists with departmental time card revisions
  • Review and correct Rehab Charge Validation work queue
  • Functions as a resource on issues such as researching complex scheduling and referral discrepancies, escalated customer service problems and vendor concerns.
  • Participates in the development and revision of front desk, scheduling processes and training resources
  • Conducts trend analyses and helps develop resulting recommendations.
  • Other duties as assigned.
  • Bachelor’s degree or other appropriate certification in business, healthcare administration or related area; and/or equivalent combination of experience/training.

  • Minimum of two (2+) or more years of experience working with insurance authorization, insurance verification, and scheduling procedures.

  • Experience and working knowledge of common computer application programs, including Microsoft Word and Microsoft Excel.

  • Proven experience in billing and coding with Rehabilitation Services.
  • Proven leadership experience and relevant Rehabilitation Services financial knowledge.
  • Experience with project management including program development, statistical analysis, departmental liaison responsibilities.
  • Must be able to work various hours and locations based on business needs.
  • Employment is subject to a criminal background check and pre-employment physical.

If applicable, life-support certifications (BLS, NRP, ACLS, etc.) must include hands-on practice and in-person skills assessment; online-only certification is not acceptable.
