Position Focus:

Under the supervision of the Head of Digital Reformatting and Microfilm Services (DRMS) and the work direction of the Media Preservation Manager, supports the audiovisual reformatting activities of DRMS.

  • Performs technical and bibliographic quality control (QC) of vendor deliverables including analog reprints and digital files which include still images, descriptive and technical metadata, and text, but especially moving image and audio—following written QC protocols.
  • Prepares original print and AV materials for reformatting. Inspects original analogue AV materials for damage and performs inventory control against transfer manifests.
  • Adds incoming AV materials to the workflow tracking system.
  • Prepares, packs, and unpacks shipments of rare, fragile materials, including books, film, audio, and magnetic media, and vendor deliverables on hard drives.
  • Follows appropriate best practices and procedures for creating and archiving digital files.
  • Tracks monthly work statistics via written record and electronic spreadsheet.
  • Creates, maintains, and updates records to document the complete interdepartmental workflow process for AV materials.
  • Reports hardware or software malfunctions and assists with finding solutions.
  • Assists with patron and programmatic audiovisual reformatting workflows and serves as a secondary source of information to vendors and Yale departments concerning routine workflow matters such as status of shipping and QC process.
  • Documents inventory control by accounting for incoming original source materials to be digitized, checking in and returning hard drives from vendors.
  • Captures still images with Photographic Capture Programs and DSLR (Digital Single Lens Reflex) Camera for AV Items digitized in-house by the Audiovisual Digitization Technician or for collections inventory projects.
  • May be required to assist with collection disaster recovery operations
  • May be assigned to work at other University locations
  • Assists with similar preparatory, digitization, and quality control tasks for book and paper workflows, if needed.
  • Performs additional related duties.
  • Essential Duties

    1. Operates computerized microfilm digital conversion systems, scanners, imaging, and camera equipment. 2. Reports complex malfunctions. Serves as a source of information to customers. 3. Answers questions on equipment and reproductions. Prepares materials for reproduction. Inspects for completeness and technical characteristics. 4. Applies selection criteria to determine materials for reproduction. 5. Determines types of materials to be used, methods, and costs of services to patrons. Reviews service for accuracy and completeness. Searches and verifies data with incomplete information or source material in databases. 6. Creates, maintains and updates records. Indexes documents according to defined criteria and guidelines. 7. Maintains accounting records for unit. Assists in the coordination, scheduling and distribution of work. Completes forms and spreadsheets. Records data and compiles into statistical analyses and reports. 8. Performs technical functions incidental to film and imaging activities.

    Required Education and Experience

    Four years of related work experience, two of them in the same job family at the next lower level, and a high school level education; or two years of related work experience and an Associate’s degree; or an equivalent combination of experience and education.

    Required Skill/Ability 1:

    Demonstrated ability to use a spreadsheet and proficiency in keyboarding skills. Proficiency with Microsoft Office suite or comparable computer programs.

    Required Skill/Ability 2:

    Demonstrated ability with or knowledge of digital video and audio inspection and/or editing. Familiarity with reformatting technologies.

    Required Skill/Ability 3:

    Demonstrated ability with or knowledge of analog audio, video, and film formats.

    Required Skill/Ability 4:

    Ability to demonstrate accuracy and attention to detail.

    Required Skill/Ability 5:

    Demonstrated ability using databases and knowledge of how databases operate.

    Preferred Education, Experience and Skills:

    Demonstrated work experience or higher education focused on analogue audiovisual formats in broadcasting or a library/archival setting.

    Physical Requirements

    Ability to push loaded book trucks, lift packages and/or books of up to 30 pounds, use step stools, stand/walk for extended periods of time.
