Normal Work Schedule: Monday – Friday 8:00am to 4:45pm

Job Summary: The Purchasing Assistant will aide in procurement-related activities at the college or University level.

Additional Department Summary: This position provides operational support for the Aerospace Engineering and Mechanics department. This position processes the purchasing paperwork for the department including receiving all purchasing requests, ensuring all pre-approvals are in place, placing orders, reconciling P-Card purchases in Concur, monitoring and tracking packages, and assisting with the distribution of the packages. The position also oversees travel arrangements and submit reimbursements for faculty, faculty candidates, seminar speakers, students and other guests for UA-related travel, which may include setting up vendors in Concur, uploading receipts, and submitting justification for the travel. This position also oversees course and room scheduling, working with students to assist registration, coordinating visits for seminars, interviews and prospective students, working with a variety of software to assist with scheduling, student information, and course/curricular materials.

Required Minimum Qualifications: High school diploma or GED and three years of general office experience; OR Associate’s degree and one year of general office experience; OR Bachelor’s degree.

Skills and Knowledge: Working knowledge in the usage of personal computers and standard application software (Outlook, Word, PowerPoint, Excel). Good organizational, communication and public relations skills. The successful candidate must show the following skills and traits: punctual and reliable; excellent communication and customer friendly service; efficient and accurate computer and data entry skills; work collaboratively in a dynamic setting; research and prepare comprehensive reports; be highly organized; work at a rapid pace with numerous interruptions; cope with stressful conditions; and demonstrate tact, versatility, and adaptability. Applicant must have the ability to demonstrate a high degree of self-motivation and directional initiative.

Preferred Qualifications: Previous experience with UA operating software programs, including Banner, Astra, and knowledge of UA’s purchasing and travel policies and procedures. Experience with purchasing which includes reconciling credit card statements in Concur and processing purchase orders in buyBAMA.
