Position Overview

The Prospect Development Consultant, Operations works closely with the Sr. Associate Director of Prospect Development Operations to align the business strategy with the resources and data available to ensure efficient operations throughout the Prospect Development team. The coordinator assists with a variety of operational tasks to monitor and improve the operations, data integrity, and performance of the Prospect Development team. The coordinator tracks team work in the workflow ticketing system; Manages the data and analysis of workflow tickets; Processes vendor contracts, invoices, and all other team expenditures; Identifies and resolves problems, anticipates needs, creates and maintains documentation for processes, exceptions, and decision-making criteria for projects, ongoing data auditing, and data analysis needs; Assists Sr. Associate Director in project management for developing timelines and deliverables; Maintains all team documentation; Interfaces with high-level customer services to a variety of people including donors, volunteers, university leadership, faculty, staff, and general public; Creates and maintain reports and records; Performs data queries to ensure accurate and timely data; Works with a variety of teams across OSU to build relationships, prioritize tasks, and advocate for Prospect Development.

The successful candidate will exhibit excellent written and oral communication skills, critical thinking skills, a high level of proficiency with Microsoft Office Suite (including Word, Outlook, and Excel), a strong client service orientation, critical thinking, analytical, and problem solving skills, attention to detail, and the ability to maintain confidentiality and use good judgment when working with sensitive information while also exhibiting the behaviors associated with the Office of Advancement’s core competencies: Leadership, Continuous Improvement, Teamwork & Collaboration, and Communication/Interpersonal Effectiveness.

Duties and Responsibilities

75%      

Apply industry knowledge to enhance team operations; Assist the Sr. Associate Director with the operationalizing of fundraising strategies that focus on pipeline development, prospect research, leadership event research, and prospect management policies and practices; Responsible for processing invoices and contracts for vendors, contractors, and other team expenditures; Build relationships with peers across the institution to facilitate efficient fiscal processing; Maintain documentation database by updating and adding new documentation; Manage project timelines and deliverables; Work with Sr. Associate Director to develop and track annual budget; Manage vendor relationships to determine team needs, coordinate training, set expectations, and process fiscal needs; Respond to prospect development inquiries through basic prospect research, facilitation of responses from team members, and direct contact with senior leadership; Independently maintain workflow ticketing system for tracking and analyzing requests.

Create and manage data integrity queries and reports; Recommend and facilitate process improvements to streamline and advance team’s effectiveness including participating in large cross-functional projects related to data integrity automation and data clean up.

Required Qualifications

  • Bachelor’s degree

  • Four (4) years of relevant experience

  • The ability to write and describe information clearly and concisely

  • Experience with relational databases (CRM systems or Microsoft Access)

  • Progressively responsible administrative or operations experience

Desired Qualifications (we encourage you to apply even if your experience is not a 100% match with the desired qualifications)

  • Two years of experience in prospect development or equivalent experience in a fundraising nonprofit or higher education setting

  • High level of proficiency with relational databases to perform queries and create reports (working knowledge of Blackbaud CRM Query preferred and/or Microsoft Access or similar)

  • Experience working with high level executives

  • Knowledge of university fiscal policies.

Additional Information:

Target Hiring Range: $53,800 – $71,700
