JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Marcus Department of Industrial and Manufacturing Engineering (IME) in the College of Engineering at the Pennsylvania State University is seeking to hire a Proposal and Award Generalist 2. This position plays a vital role and is involved in all aspects of the departmental grants and contracts life cycle. This position is heavily involved in the preparation and administration of both pre-award and post-award activities, as well as supporting faculty in all day-to-day activities, which includes proposal development, award submission, funds administration, reporting, closeout activities, labor distributions, graduate assistant stipend and tuition, award criteria and problem resolution, analysis and oversight of the department’s research grants, subcontracts, seed awards, cost share, and tracking expenses.

Specific duties include, but are not limited to:

  • Maintain and monitor proposals and awarded grants and contracts in coordination with faculty, the College’s research office, the Finance Office, and other various University offices.

  • Manage SIMBA (System for Integrated Management, Budgeting, and Accounting) Cost Centers and Internal Orders for research projects. Request new Cost Centers and Internal Orders through OERA (Office of Engineering Research Administration), as needed.

  • Work with OERA on the administration of sponsored projects to include budget revisions, no cost extensions, preparation of financial reports, and tracking mandatory and voluntary committed cost share.

  • Assisting with quarterly or monthly invoicing for sponsored projects.

  • Work with PIs (Principal Investigators) and IME’s finance staff to ensure labor is charged in a timely manner and other purchases/expenses are allowable, allocable, and reasonable.

  • Work with OERA and PI on sponsored project closeout procedures.

  • Produce on-demand reports for sponsored accounts for faculty, the department, and the college to monitor and report financial activities and performance.

  • Serve as backup for the Administrative Support Coordinator of the Department of Industrial and Manufacturing Engineering.

Typically requires an Associate’s Degree or higher plus two years related experience, or an equivalent combination of education and experience. Completion of the Penn State ACOR (Administrative Committee on Research) certification is preferred. Experience with Penn State Systems (SIMBA, SIMS-Strategic Information Management System and SAP Concur-expense and invoice processing system) and an understanding of policies and procedures is desirable but not required.
