Job Summary

This position supports the Vice Chairs, Directors, and Managers of the Imaging IT group within the Department of Radiology and Biomedical Imaging.

This position provides support on vendor relations, project management, finance/budget oversight, policy review, and analytical support for a fast-paced radiology informatics unit.  Close collaboration with Imaging IT leaders, clinical leaders, and vendors is a must. Weekly task planning, quick response and turnaround time, and financial report out are within the standard practice. 

The Imaging IT group maintains more than 20 clinical applications for UCSF Health and supports research operations through over $5 million in capital computer assets, and $1M of annual service. Strong accounting and financial skills are highly valued, and necessary for success.

The incumbent must understand, evaluate, and determine the needs of these critical projects in order to independently manage the job responsibilities of the position.

The Projects Coordinator is assigned projects and expected to independently manage the entire problem-solving process, which includes researching, analyzing information, identifying, and recommending potential solutions. This position requires a high level of professionalism and diplomacy, particularly in dealing with sensitive issues and critical academic activities.

The incumbent will be expected to maintain and utilize several online systems/databases (i.e., Capital purchasing system, Smartsheet, Qgenda, PACS, Amion, MyAccess systems, Advance, BearBuy, America to Go, MyExpense, etc). The incumbent will need to possess excellent verbal and written communication skills and must have strong organizational, spreadsheet, and financial management skills. The Coordinator needs to be a team player, able to work well with faculty and staff of all levels and be able to multi-task in a fast-paced work environment.

Department Description

The Department of Radiology and Biomedical Imaging is one of the largest departments within the School of
Medicine. The Department of Radiology & Biomedical Imaging is one of the largest departments in the School of Medicine, generating more than $40 million in professional fee revenues each year, and submitting grant proposals resulting in $30-40 million in awards each year. More than 90% of the MD faculty in Radiology is based at the Parnassus campus including nine of the ten clinical sections and their chiefs, and 5 of the 7 vice chairs. The department has significant clinical and research operations at China Basin, Mission Bay, the VAMC, SFGH, and Mount Zion; it includes more than 150 academic personnel and approximately 225 staff FTE. In addition, there are more than 70 resident, fellow, and graduate student trainees.

Required Qualifications

  • Bachelor’s degree in related area and / or equivalent experience / training.
  • Knowledge of common UC software applications – Smartsheet, Qgenda, PACS, Amion, MyAccess systems, Advance, Bearbuy, America to Go, MyExpense, AP Recruit, DocuSign; UC Health Purchasing systems
  • Strong communication and interpersonal skills to communicate effectively, both verbally and in writing.
  • Ability to use discretion and maintain all confidentiality.
  • Analytical / problem-solving skills.
  • Strong skills in analyzing, researching, and synthesizing large amounts of data for preparing sound and relevant proposals/analyses.
  • Ability to manage multiple tasks, manage time well, and set/adjust priorities in a dynamic, fast-paced, deadline-oriented, work environment
  • Strong skills in short-term planning, analysis and problem-solving, and customer service.
  • Knowledge of financial analysis and reporting techniques, and/or human resources policies and procedures 
  • Thorough knowledge of University rules and regulations, processes, protocols, and procedures for budget, accounting, and fund management, and/or personnel management.
  • Minimum of 3 years of related experience
