The Department of Infectious Diseases is a recently established department of the Melbourne Medical School, Faculty of Medicine, Dentistry and Health Sciences that is based at The Peter Doherty Institute for Infection and Immunity (Doherty Institute). Research within the department encompasses infectious diseases including antimicrobial resistance and healthcare associated infections, malaria, HIV, tuberculosis, influenza, viral hepatitis, sexually-transmitted infections, skin pathogens and emerging infectious diseases such as COVID-19. Our researchers come from diverse backgrounds, including discovery research and basic scientists, clinician researchers, epidemiologists, public health physicians and microbiologists

About the Role
The Project Support Officer will support Prof Deborah Williamson’s research portfolio through general lab administration and research project management relating to clinical and public health microbiology, genomics and novel diagnostics applied to sexually transmitted infections (STIs). The successful applicant will undertake a range of tasks including meeting support for internal and external committees and projects, project coordination support for key national multi-partner grants, processing of financial transactions, as well liaising with diverse organisations, funding bodies and multi-disciplinary professionals to support the programs of work.

Responsibilities include:

  • Under direction, plan and carry out appropriate project management functions including coordination of meetings, assistance with processes and systems for reporting to support research and knowledge translation.
  • Provide project coordination and administrative support for research programmes relating to clinical and public health microbiology, genomics, novel diagnostics and sexually transmitted infections; including management of project work plans, development of ethics approvals, budgeting, monitoring of progress and milestones, and contribution to reporting.
  • Assistance with financial management of research projects, including budgeting and reporting, submitting invoices for payment and agreements where required for review.
  • Build strong relationships with research and service staff and a develop a sound understanding of the research focus and activity of these research programs.

About You
You will be highly organised, communicate effectively with a diverse group of individuals, and set priorities to assist in completion and reporting of activities and budgets to external deadlines. With support and guidance from other research and service staff, you will be expected to be self-directed and adaptable in management of their work, manage competing demands, prioritise tasks effectively, ensure attention to detail and communicate with stakeholders in a professional manner.

You will also have:

  • Completion of an undergraduate degree or an equivalent combination of relevant experience and/or education/training.
  • Previous experience in a broad range of administrative duties including coordinating projects and providing committee support such as drafting agendas, minutes and facilitating the follow up of action items.
  • Demonstrated organisational and planning skills to manage multiple projects or activities concurrently (research projects looked upon favourable), including management of project meetings, develop clear project plans and timelines, communicate effectively with stakeholders, and monitor project progress.
  • Strong interpersonal and communication skills with the ability to be professional and relate effectively with a range of people across all levels of the organisation.
