New York Portfolios Office (NYPO) supports the United Nations Secretariat, as well as other New York-based United Nations organizations, and bilateral and multilateral partners in the delivery of UNOPS mandate in project management, infrastructure management, and procurement management.

Sustainable Development Cluster (SDC) supports diverse partners with their peacebuilding, humanitarian and development operations. It was formed by combining the following portfolios: Grants Management Services (GMS), UN Technology Support Services (UNTSS), and Development and Special Initiatives Portfolio (DSIP) It provides Services to partners’ programmes that are designed, structured, and managed with a global perspective and primarily serving partners that are headquartered in New York. The SDC has a footprint of approximately 125 countries.

UNOPS is an implementing partner of the United Nations Office of Counter-Terrorism.

The Office of Counter-Terrorism (OCT) was established by the General Assembly in June 2017. The Office has five main functions: (a) provide leadership on the General Assembly counter-terrorism mandates across the United Nations System; (b) enhance coordination and coherence across the United Nations Global Counter-Terrorism Coordination Compact Task Force entities to ensure the balanced implementation of the four pillars of the United Nations Counter-Terrorism Strategy; (c) strengthen the delivery of United Nations counter-terrorism capacity-building assistance to Member States; (d) improve visibility, advocacy and resource mobilization for United Nations counter-terrorism efforts; and (e) ensure that due priority is given to counter-terrorism across the United Nations System and that the important work on preventing violent extremism is firmly rooted in the Strategy.

The incumbent of this position will be a personnel of UNOPS under its full responsibility.

Functional Responsibilities
Under the supervision of the Project Manager, the incumbent will be responsible for the following tasks:

  • Provide administrative support in preparation for the conferences, workshops, and retreats.
  • Processes travel transactions (authorizations and claims), including in the OneUNOPS system for all personnel, UN officials, and visitors, ensuring compliance with UN rules and regulations.
  • Provide information on air services, rates, and travel schedules for specific itineraries.
  • Maintain unit’s documentation, including records and files, ensuring the safekeeping of confidential materials.
  • Perform other duties as may be reasonably required and in line with the incumbent’s scope of services above.

Monitoring and Progress Controls
Regular bilateral meetings with the supervisor and the portfolio team, along with timely and accountable delivery of services, ensure client satisfaction. This promotes the image and credibility of the team and office as effective service providers in project services and management.

Education/Experience/Language requirements

Education:

  • Advanced university degree (master’s or equivalent) preferably in Business Administration, Public Administration, or other related discipline with no years of relevant experience is desirable; OR
  • First-level university degree (undergraduate, bachelor or equivalent), with no years of relevant, will be considered an asset; OR
  • Secondary school diploma (or high school equivalent) and five (5) years of relevant experience are required.

Work Experience:
Required**:**

  • Relevant experience is defined as experience in general administrative or operations support services in national or international public or corporate organizations.

Desirable:

  • Experience in the UN system organizations is desirable.
  • Experience in the use of Enterprise systems, including OneUNOPS, is desirable.

Language:

  • Fluency in English is required.
  • Knowledge of French or other UN working languages is desired.
